What We’re Looking For

The Operations Project Manager supports the Operational Management Team (OMT) by managing and coordinating work required to carry out OMT priorities, initiatives, and ongoing operations. This role develops and maintains project plans, tracks deliverables, facilitates meetings, coordinates cross-functional efforts, and monitors progress toward goals. The role manages multiple concurrent work streams, maintains project and operational plans, facilitates collaboration across teams, and translates OMT decisions into actionable items completed on time.

Strong project management, facilitation, organizational, and communication skills are required, with advanced proficiency in SharePoint, Asana, Outlook, Teams, and other project management tools. The role partners with OMT to create structure, accountability, and visibility across a broad portfolio of work, works independently, builds cross-organizational relationships, identifies and resolves obstacles, and keeps work moving forward. It also coordinates operational and administrative activities that enable OMT to function effectively, including calendars, meeting logistics, meeting materials, notes, action items, decisions, risk logs, and progress tracking.

The role serves as a central point of coordination for OMT work and ensures consistent communication across OMT, advisors, and supporting teams. This position reports to the PMO Manager and may require quarterly in-person attendance in Portland; travel is not required for this role.

Key Responsibilities include: managing multiple work streams, maintaining project plans and timelines, facilitating cross-functional collaboration, capturing and distributing meeting notes, tracking action items and risks, and ensuring decisions are documented and followed up on.

Qualifications
  • Bachelor’s degree or equivalent professional experience.
  • Three years of project management, operations management, program coordination, or similar experience leading projects and coordinating cross-functional work.
  • Experience developing and maintaining project plans, workplans, timelines, milestones, dependencies, risks, and action plans for multiple initiatives.
  • Experience facilitating meetings and working sessions that result in decisions and clear next steps.
  • Advanced experience with Asana (or similar) for project planning, task management, reporting, dashboards, and coordination of complex work.
  • Experience creating, maintaining, and improving operational systems and tools that support project execution and visibility into work.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint; ability to prepare presentations, reports, dashboards, and decision-support materials.
  • Experience using SharePoint or similar document management platforms to organize information and support team operations.
  • Strong ability to plan, prioritize, and manage multiple work streams with attention to detail and follow-through.
  • Ability to identify risks and blockers and work with stakeholders to develop solutions.
  • Excellent written, verbal, facilitation, and interpersonal communication skills; able to work with staff, managers, directors, and cross-functional teams.
  • Demonstrated ability to influence, coordinate, and drive accountability without direct supervisory authority.
  • Ability to work independently, exercise sound judgment, and manage ambiguity in a dynamic environment.
  • Experience supporting organizational planning, governance, and cross-functional initiatives preferred.
  • Project Management Professional (PMP) or similar certification preferred.
