Position: Print and Mail Systems Analyst (Administrative Officer 2)

THE POSITION

The Print and Mail Systems Analyst (Administrative Officer
2) position with the Department of General Services offers a chance to support important statewide operations in a dynamic environment. You will help guide key systems that keep projects moving smoothly and efficiently. In this role, you will have the opportunity to serve as a business process expert; responsible for document control, perform complex variable data management; ensure updates and maintenance are completed timely, and develop and maintain the Commonwealth’s online print ordering and document repository application (Pa Publisher) related to on-demand projects.

DESCRIPTION

OF WORK

This role supports the development, improvement, and oversight of key applications and processes used across the Bureau. You will manage complex technical tasks that support print production, data workflows, and customer applications. As a Print and Mail Systems Analyst, you will perform the following duties:

  • Application Oversight:
    Provide development and oversight for major applications such as customer portals, workflow tools, and production systems
  • User

    Collaboration:

    Work with users to identify challenges and improve the function and layout of internal and external applications
  • System Management:
    Manage and maintain the Pa Publisher system and ensure successful integration with print production operations
  • Variable Data Expertise:
    Design variable data print streams and manage related resources to meet project and regulatory requirements
  • Software Configuration:
    Customize production software to meet workflow, printing, and mail inserting needs across the Bureau
  • Process Coordination:
    Coordinate system updates, documentation, and testing to ensure strong performance and minimal downtime
Work Schedule and Additional Information
  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday
    - Friday, with 30-minute lunch.
  • Essential Employee
    - Required to report to work during emergencies and office closings.
  • Telework:
    You may have the opportunity to work from home (telework) part-time, flexible. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time.
  • Salary:
    In some cases, the starting salary may be non-negotiable.
Required Experience, Training & Eligibility QUALIFICATIONS Minimum Experience and Training Requirements
  • One year as an Administrative Officer 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a bachelor's degree; or
  • Any equivalent combination of experience and training.
Additional Requirements
  • You must have experience in application development and technical oversight, including customer portals and internal workflow systems related to print manufacturing.
  • You must have experience with variable data printing (VDP), including template design, data manipulation, and conditional logic.
  • You must have demonstrated understanding of print and mail production workflows, including print-on-demand environments.
  • You must have at least 5 years of experience with Adobe Creative Cloud (i.e. InDesign, Acrobat, etc.).
  • You must have at least 5 years of experience with Microsoft Excel.
  • You must be able to perform essential job functions.
Preferred Qualifications (not required)
  • Experience with XMPie, Fusion Pro, or related applications
  • Experience working with print MIS systems and production workflow software, including configuration and integration
