POSITION OVERVIEW:

We are expanding our PMO Coordination function by adding a second team member to accelerate delivery, provide greater coverage, and enable the team to scale more quickly. In this role you will support Project Management Teams in organising and administering all types of projects, from simple activities to more complex implementations. You will work as part of a small but growing team, sharing responsibilities with your fellow PMO Coordinators, ensuring that project governance processes run smoothly and consistently.

Reporting to the Regional Services Operations Team, you will collaborate with Global PMO, Project Managers (PMs), Team Leaders, and delivery teams to coordinate various aspects of project management processes. The primary objective is to support overall project governance with a strong emphasis on project tracking and reporting to ensure projects meet deadlines, stay within budget, and are managed in accordance with the MRI 4D Framework.

The ideal candidate will possess strong organisational, analytical, and communication skills, with a solid understanding of project management processes and governance. The role includes coordinating tasks such as schedule and risk management, as well as administrative duties like maintaining project documentation and producing reports. A collaborative approach with the other PMO Coordinators will help balance workloads and ensure consistent support across all projects.

The organization operates a hybrid model with 3 days of working from home per week. This role is based in the South Africa Cape Town office and will support the UK region, requiring UK hours (10:00 – 18:30 SA time, extending to 19:30 during daylight saving).

Responsibilities
  • Conduct regular internal audits and project reviews with Project Managers and Team Leaders to ensure adherence to the MRI 4D Framework and identify improvement opportunities.
  • Use MRI tools, systems and data to assess project compliance, report on actions, plans and budgets, and identify opportunities for improvement.
  • Prepare and present audit reports highlighting compliance issues, risks, and recommendations for corrective actions.
  • Provide guidance and support to PMs in implementing corrective actions to keep projects on track.
  • Develop and enhance project governance documentation, including policies, procedures, templates, and guidelines; oversee communication and implementation.
  • Ensure governance is applied correctly on MRI projects.
  • Drive efficiencies within the PMO and project management teams by streamlining processes in collaboration with fellow PMO Coordinators.
  • Create and maintain management reports to track project status and performance.
  • Participate in PM focus groups and contribute governance insights.
  • Assist PM Team Leaders and PMs in identifying and resolving project issues and bottlenecks; coordinate Lessons Learned activities.
  • Develop and deliver training sessions to Project Managers and project teams on governance processes, methodologies, and best practices.
Requirements
  • Minimum 5 years of experience in project management or in a Project Management Office role within a professional services team in a software company.
  • PRINCE2, PMBOK, PMP or equivalent project management certification or training.
  • Ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Strong organizational skills, including multitasking and time management.
  • Strong teamwork and presentation skills.
  • Familiarity with risk management and quality assurance control.
  • Solid working knowledge of Microsoft Office 360.
  • Ability to analyse financial data, including project budgets, risks, and issues.
