The Centre for Governance, Ethics and Compliance in the Registrar's Division of Stellenbosch University (SU) consists of the Office of the Deputy Registrar, Governance Office, Institutional Secretariat and Publications, SU Archives, the Compliance Office, and the Office for Business Ethics. The Centre is responsible for the general governance of statutory bodies as well as institutional record-keeping, compliance and business ethics. The Centre reports to the Registrar.
We are looking for a reliable and innovative Committee Officer to provide service to the University's institutional governance and management structures and their standing committees.
Duties/Pligte- Providing professional and effective service to SU Council, Senate, Institutional Forum, Rectorate and their standing committees.
- Information management (dissemination of information and resolutions in a suitable and timely way, and record-keeping).
- Committee administration and facilitation, including drawing up agendas and document bundles for meetings; keeping to strict timelines; logistical arrangements regarding meetings (e.g. scheduling); effective running of online/hybrid meetings; facilitating online voting during committee meetings; facilitating round‑robin requests; advising on procedures and other governance aspects; understanding the mandates of the allocated committees; taking minutes and drafting reports; communicating resolutions; ensuring that the action list after the meeting has been executed timeously;
updating the committee membership lists; updating the decision register of a committee; archiving relevant documents. - Executing administrative tasks within the Centre for Governance, Ethics and Compliance.
- Any ad hoc responsibilities allocated by line management.
- A university degree or an equivalent NQF 7 qualification and three years' relevant committee experience within a higher education institution, or at least four years' relevant experience; OR
- A diploma or equivalent NQF level 6 qualification and four years' relevant committee experience within a higher education institution, or at least five years' relevant experience.
- Proven experience in writing minutes, reports and correspondence with internal and external stakeholders.
- The ability to maintain high standards of confidentiality.
- Proven experience in computer applications and software (word processing, text writing and editing) and Adobe Acrobat, Microsoft Teams, One Drive, and SharePoint.
- Highly articulated and advanced writing abilities.
- Excellent interpersonal relations and the ability to communicate with ease on all levels.
- Excellent communication ability in English.
- High‑level organisational, time management and planning skills.
- Precise attention to the finest detail.
- The ability to maintain high concentration levels for long periods of time.
- Professionalism, tact and integrity.
- Proven experience in database management.
- Proven understanding of document control and record‑keeping practice.
- Availability to perform committee work after official work hours.
- Appropriate experience in the higher education sector.
- Knowledge of the SU environment.
- Knowledge of board management software such as Board Effect.
- The ability to communicate effectively in a second official South African language other than English.
