We’re looking for a Program Manager to join our R&D Operations team in Warsaw and own the end-to-end scheduling and coordination of our R&D Onboarding program - while driving additional operational programs that keep Asana’s Product and Engineering teams running at their best. You’ll build and maintain the systems, rhythms, and infrastructure that give every new hire in R&D a consistent, well-orchestrated first-weeks experience, and proactively identify the coordination gaps that slow teams down.

R&D Operations partners closely with Engineering to ensure our teams have the operational backbone they need to execute on Asana’s mission. We build the programs, processes, and tooling that let R&D run effectively at scale - from onboarding and enablement to cross-functional rituals and operational health. This role is based in our Warsaw office with an office-centric hybrid schedule. The standard in-office days are Monday, Tuesday, and Thursday.

Most Asanas have the option to work from home on Wednesdays. Working from home on Fridays depends on the type of work you do, and your recruiter can share more about the in-office requirements. We offer a Contract of Employment (UoP) for our employees in Poland.

What you’ll achieve
  • Own scheduling and coordination for R&D Onboarding - manage cohort planning, session logistics, presenter coordination, and calendar systems so every new hire across Product and Engineering has a smooth, consistent onboarding experience across time zones.
  • Maintain scalable program infrastructure by owning Asana projects, templates, and tracking systems that keep onboarding and other R&D programs running reliably without needing to reinvent the wheel each cycle.
  • Measure program effectiveness - review current feedback loops and lightweight metrics to assess whether programs are working, and use that data to iterate and improve continuously.
  • Identify and close operational gaps by proactively spotting where coordination is breaking down across team seams, proposing scalable fixes, and working with stakeholders to build buy-in and drive implementation.
  • Communicate clearly across R&D - keep people informed at the right cadence, produce clean status updates, maintain documentation in the internal knowledge base, and run tight meeting rhythms without creating overhead.
  • Drive execution of cross-functional R&D programs end-to-end - take ownership of 1-2 additional programs (e.g., feedback mechanisms, enablement sessions, operational rituals), shaping them from design through day-to-day execution.
About you
  • Demonstrated experience in program or project coordination, with a track record of owning scheduling, logistics, and operational workflows across multiple stakeholders or work streams in a fast-moving environment.
  • Strong organizational skills with sharp attention to detail - you can manage competing priorities across programs without letting things slip, and you take pride in building systems that others can rely on.
  • Clear, structured communication - you write crisp status updates, know how to keep stakeholders informed without overwhelming them, and can adapt your style for engineering, product, and leadership audiences.
  • Collaborative and cross-functional nature - you build trust easily with technical teams, work well without direct authority, and bring a low-ego, get-it-done approach to every workstream.
  • Proactivity and problem-solving approach - ability to spot coordination gaps before they become blockers, propose practical fixes, and follow through to implementation with stakeholder alignment.
  • Curiosity about tools and operational systems - you’re comfortable to continue or start working in Asana and similar platforms, and excited to apply AI-powered workflows to streamline program operations and reporting.
  • Demonstrated curiosity about AI tools and emerging technologies, with willingness to learn and leverage them to enhance productivity, collaboration, or decision-making.
