Contract Manager

We're hiring a Contract Manager to support LYRIC's fiscal integrity and contractual compliance across all government and institutional grants. This role is essential to the success of our Finance Department—ensuring our programs are well-resourced, accountable, and aligned with our mission to serve LGBTQQ+ youth.

The Contract Manager will manage all phases of contract administration, from budget development and invoicing to reporting and audit preparation. You'll work closely with the VP of Finance, Executive Director, and internal teams to ensure that all deliverables are met and funds are accurately tracked. This is a key cross-functional role that connects finance, programs, development, and human resources in support of LYRIC's long-term sustainability.

This is a remote position with required in-person attendance at periodic meetings, trainings, and community events in San Francisco.

What You'll Do

Contract Administration & Compliance

  • Manage contract processing for new and renewing grants, including scopes of work, budgets, and required attachments.
  • Monitor and ensure compliance with all funder requirements, deadlines, and documentation standards.
  • Serve as a liaison to government agencies and attend all required funder trainings and meetings.
  • Maintain digital contract records in Quick Books Online, Box, and internal tracking systems.
  • Support monitoring visits and audits by preparing reports and documentation in coordination with the VP of Finance.

Invoicing & Financial Tracking

  • Prepare and submit monthly invoices for all government contracts; follow up on receivables and reconcile payments.
  • Run reports and generate financial exports in Quick Books Online to support contract-specific coding and tracking.
  • Maintain accurate records of accounts receivable and reconcile outstanding balances.
  • Coordinate with internal teams to allocate expenses, staff time, and benefits in alignment with contract budgets.

Internal Coordination & Systems Management

  • Maintain the organization's "Fiscal Year Schedule of Government and Other Contracts" and "Invoice Status" documents to ensure clear, timely communication across departments.
  • Develop allocation tools for tracking deliverables, expenditures, and staff allocations in partnership with the Finance Manager.
  • Collaborate with HR to ensure benefit costs are accurately applied to grants and budgets.

Budget Development & Audit Preparation

  • Assist in developing LYRIC's organizational and contract-specific budgets, including mid-year modifications.
  • Support monthly financial closes and year-end audits by preparing journal entries, reconciling expenses, and compiling documentation.
  • Prepare journal entries for payroll, insurance, 403(b) contributions, and other allocations.

Funder Relations & Cross-Department Collaboration

  • Communicate regularly with city departments and funders regarding invoicing, contract status, and deliverables.
  • Collaborate with LYRIC's program and development teams to align contract terms with service delivery and fundraising goals.
  • Participate in cross-departmental initiatives and meetings as a member of LYRIC's core operations team.

Organizational Engagement

  • Attend all-staff meetings, cross-department retreats, and LYRIC-hosted community events.
  • Engage with youth and staff in organization-wide campaigns and grassroots fundraising efforts.
  • Step into organization-wide projects and support collective goals as needed.
Who You Are
  • A nonprofit finance or contract administration professional with 3+ years of experience managing grants—especially with city, state, or federal funders.
  • Detail-oriented and highly organized, with strong skills in documentation, financial tracking, and coding accuracy.
  • Proficient in Quick Books Online, Excel (intermediate to advanced), and Google Workspace.
  • Familiar with San Francisco's grantmaking systems and reporting tools—or excited to learn them quickly.
  • Knowledgeable about nonprofit budgeting, invoicing, and audit preparation.
  • An effective communicator with funders, colleagues, and community stakeholders.
