The Business Program Coordinator provides business, operational, and administrative support to the Office of the SVP, Chief Operating Officer of Wealth Management Advisor Group (WMAG). This role partners closely with the COO, Vice President of Planning & Administration, Director of Planning & Administration, Executive Assistant, and WMAG Sales and Operations leadership team to support department operations, leadership forums, communications, events, reporting, and organizational initiatives.
The coordinator plays a key role in enabling organizational effectiveness through coordination, planning, communication, and execution of business priorities.
Key Responsibilities- Support the effective operation of the COO organization by coordinating priorities, tracking deliverables, supporting business rhythms, and ensuring timely follow-up on commitments.
- Partner closely with Sales and Operations leadership and Planning & Administration team to support organizational priorities, business planning activities, decision-making, and day-to-day operations.
- Coordinate Sales and Operations leadership meetings, town halls, offsites, training sessions, employee events, and other organizational forums, including logistics, materials, and communications.
- Maintain tracking and reporting for key initiatives, action items, scorecards, business updates, and planning activities to support execution and accountability.
- Collect, organize, and consolidate operational data and stakeholder inputs to ensure deadlines, deliverables, and organizational priorities remain on track.
- Maintain departmental resources and documentation, coordinate cross-functional requests, and assist with special projects and organizational initiatives.
- Serve as a resource for the department and provide backup support for the Executive Assistant and other team members, as needed.
- Associate degree or 3-5 years of equivalent administrative, business coordination, and/or project management experience.
- Adept at building positive and collaborative working relationships.
- Highly organized with strong attention to detail.
- Demonstrated ability to manage multiple priorities in a dynamic, fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to handle/maintain private and confidential information with discretion.
- Ability to work independently, exercise sound judgment, and take initiative with minimal direction.
- Critical thinking and problem-solving skills.
- Proficient in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, Word, and SharePoint.
- Previous experience supporting business operations, executive leadership, project coordination, or administrative functions within a corporate environment.
