Description:

The Contract Coordinator plays a key role in supporting the Road & Bridge Division’s contracting and vendor management processes from start to finish. This position coordinates with Road & Bridge Division personnel, Purchasing, vendors, contractors, the County Attorney’s Office, Risk Management, and other stakeholders to ensure contracts are accurate, compliant, properly executed, and effectively managed. The ideal candidate enjoys bringing organization to complex processes, building positive working relationships, and ensuring details are handled accurately and on time.

They are comfortable coordinating with a variety of internal and external partners and can communicate clearly with people at different levels of an organization. The successful candidate demonstrates sound judgment, strong follow-through, and the ability to identify issues and develop practical solutions.

They are comfortable working with contracts, financial information, spreadsheets, and databases, and can balance competing deadlines while maintaining accuracy. A strong customer-service mindset, professionalism, discretion, and the ability to build productive vendor and stakeholder relationships are essential.

SCHEDULE:

Monday–Thursday, 6:00 a.m.–4:00 p.m. (four 10-hour shifts). The first six weeks will be fully onsite; thereafter, a hybrid work arrangement may be available with manager approval.

COMPENSATION:

Hiring Range: $ - $ USD Annual Compensation will be determined based on education, experience and skills.

ESSENTIAL DUTIES:

Contract Administration:
Coordinate and oversee the contract administration process across the Road & Bridge Division, working closely with Purchasing, vendors, contractors, management, the County Attorney’s Office, and Risk Management. Ensure contracts comply with County requirements, policies, and financial best practices. Develop, renew, track, edit, and route contracts for approval and execution. Assist with developing Requests for Proposals (RFPs), coordinate the RFP evaluation and vendor selection process, and ensure all required documentation is complete and maintained.

Monitor contract-related payments and fees to support budget management and cost control.

Vendor and Contract Relationship Management:
Manage vendor relationships and contract performance, including negotiating contract terms, service changes, and fees. Monitor vendor compliance and service delivery, identify and address performance or compliance issues, and recommend appropriate corrective actions when needed. Investigate and resolve invoicing and payment issues, respond to contract-related inquiries, and communicate regularly with staff and vendors regarding services and resources. Monitor financial activity and communicate potential issues to the budget manager.

Data and Financial Management:
Maintain accurate contractor and contract information in databases, spreadsheets, and tracking systems. Monitor contract utilization and fiscal activity, including reviewing reports and contract spending against established dollar limits.…
