Position SummaryJohnson and Associates, an Ameriprise Private Wealth Advisory Practice, is seeking a motivated Client Service Specialist who is excited to build a long-term career in financial services. As a key member of our team, you will support advisors and clients by managing day-to-day service requests, coordinating administrative processes, and helping deliver an outstanding client experience.
Key Responsibilities Client Service & Relationship Support- Execute client service requests and follow-up activities.
- Respond to routine client inquiries and provide timely updates.
- Answer inbound phone calls and direct inquiries to the appropriate team member.
- Schedule and coordinate client meetings.
- Support the onboarding of new clients.
- Assist with client engagement activities, including holiday cards, birthday cards, client appreciation gifts, and milestone recognition.
- Deliver a professional, responsive, and positive client experience.
- Process client transactions, including:
Rollovers, transfers, contributions, distributions - Process financial paperwork and documentation accurately while ensuring compliance requirements are met.
- Monitor client requests and new business through completion while providing timely updates.
- Follow up with clients, insurance carriers, and the home office regarding outstanding transactions.
- Prepare forms, paperwork, and meeting support materials.
- Assist with gathering and organizing information needed for client meetings.
- Track and complete assigned post-meeting tasks.
- Support advisors by ensuring follow-up commitments are completed accurately and on time.
- Maintain accurate CRM records, including client notes, tasks, and demographic information.
- Update client information within CRM and financial planning systems.
- Save and organize client documents within approved storage systems.
- Ensure all documentation meets regulatory, compliance, and practice standards.
- Manage incoming mail and client correspondence, ensuring timely distribution, accurate recordkeeping, and proper documentation.
- Ensure office supplies remain adequately stocked.
- Track and record office expenses.
- Monitor and execute scheduled social media posts.

Qualifications Required Skills- 3+ years of work experience in financial services, banking, insurance, real estate, client service, or another related field.
- Strong customer service skills.
- Strong organizational and time management skills.
- Ability to manage multiple priorities and deadlines.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and CRM software.
- Professional and client-focused demeanor.
- Ability to work independently and as part of a team.
- Prior experience with Ameriprise Financial systems, processes, and client service practices is preferred.
- Experience processing financial transactions and client documentation.
- Familiarity with financial planning software and wealth management operations.
- Experience with Salesforce, Money Guide, or similar CRM and financial planning software.
- Competitive hourly pay: $26.44–$29.81per hour ($55,000–$62,000 annualized based on a 40-hour workweek), depending on experience and qualifications.
- This is a full-time, non-exempt, hourly position. Opportunities for skill-based pay increases and discretionary bonuses are also available.
