Inside Sales Operations Executive
The Inside Sales Operations Executive is a newly created role responsible for supporting the Inside Sales team by managing the operational, administrative, and transactional activities associated with customer renewals and sales processes. The role focuses on order processing, invoicing, opportunity management, contract administration, and customer support to ensure accurate and efficient execution of renewals and transactions.
Working closely with Inside Sales Executives, Finance, Legal, and Customer Support teams, the role ensures data integrity, SLA compliance, and a seamless customer experience throughout the customer lifecycle. The successful candidate will help drive operational excellence by maintaining accurate records, supporting pipeline and forecasting activities, executing multi-year renewals, resolving customer inquiries, and identifying opportunities to improve processes and efficiency.
This is a hybrid role requiring the successful applicant to attend our Philadelphia office three days per week, with the remainder of the time working remotely.
Key Responsibilities
- Order Processing & Contract Administration
- Prepare, validate, and process customer order forms accurately and within agreed timelines.
- Verify customer information, pricing, entitlement, and contract terms prior to submission.
- Maintain accurate contract and customer documentation for compliance and audit requirements.
- Track order status and proactively manage follow-up actions to ensure timely completion.
- Invoicing & Customer Service Support
- Manage invoicing processes for renewals, amendments, and new transactions.
- Liaise with CS to resolve billing issues, payment queries, and invoicing discrepancies.
- Support revenue recognition processes by ensuring accurate transaction records.
- Assist with month-end and quarter-end activities related to renewals and sales operations.
- Maintain accurate financial documentation and reporting records.
- Opportunity & Renewal Management
- Maintain and update Salesforce records to ensure opportunity and customer data accuracy.
- Monitor renewal opportunities and identify contracts requiring attention or escalation.
- Manage the administration and execution of multi-year renewal agreements under $20K.
- Ensure contract terms, pricing, and renewal schedules are accurately reflected in internal systems.
- Support contract amendments, modifications, and customer communications throughout the renewal process.
- Coordinate with stakeholders to ensure successful and timely renewal completion.
- Support renewal pipeline management, forecasting, and performance reporting activities.
- Ensure accurate tracking of customer interactions, contract status, and renewal progression.
- Customer & Internal Support
- Provide timely and professional support for customer and internal inquiries relating to renewals, contracts, orders, and invoicing.
- Deliver a high standard of customer service and ensure a positive customer experience.
- Partner with Inside Sales Executives to prioritize workloads and support revenue-generating activities.
- Act as a trusted point of contact for operational and transactional queries.
Qualifications
- Experience in sales operations, customer support, or administrative roles
- Experience in B2B environments, particularly with subscription or renewal-based business models
- Ability to prioritize tasks and manage multiple customer accounts efficiently
- Previous exposure to Salesforce and SAP preferred
- Strong Microsoft Office skills, particularly Excel for data management
- Excellent verbal and written communication skill
- Strong work ethic and organizational skills to maintain accurate records and meet tight deadlines.
