Property Systems Administrator & Training Coordinator
Private Family Office
· Remote Position
· Regular Domestic and International Travel Full-Time
About the Role
A private family office is seeking a Property Systems Administrator & Training Coordinator to oversee the technology and systems that support its residences across the US. Rather than managing a household, this role focuses on the tools behind it: the NINES household management platform, Apple devices, and shared file systems. You'll train property staff, set clear standards, and help every team use these tools consistently.
The ideal candidate is methodical, self-directed, and a patient teacher. You come to the table with a plan, communicate clearly, and would rather fix a workflow than work around it.
This is a remote position
, with a preference for candidates based in the Mid-Atlantic or on California's Central Coast.
Regular domestic and international travel is required to support systems implementation and training on site with property teams across the residences.
Key Responsibilities
- Own the NINES platform, including setup, permissions, vendor records, calendars, and reporting.
- Manage Apple devices, smart home hubs, and Microsoft 365 accounts, and serve as the go-to contact for staff technology.

- Run quarterly audits to check data quality and adoption, and retrain where needed.
- Maintain file structure, naming conventions, and written standards.
- Support the rollout of Apple home systems across the residences.
- Travel between domestic and international locations with some advanced notice.
Qualifications
- 3+ years administering a property management, CMMS, or household management platform. NINES experience is a strong plus.
- Property management, estate management, or hospitality experience is helpful but not required.
- Proven success training non-technical staff and driving software adoption.
- Fluency in the Apple ecosystem. MDM experience is a plus.
- Strong documentation and organizational skills.
- Comfort working with an accounting team on vendor records and coding.
- Ability to regularly travel domestic and international for multi-day property visits.
- Absolute discretion.
- Must have reliable internet connection, suitable for remote employment
- Must be legally authorized to work in the United States and presently International travel-ready.
- Must be willing to undergo an in-depth background check and provide excellent references.
