The RoleThis is a key contributor role with Veeva’s North America marketing team.
The role is primarily responsible for food and beverage (F&B) planning and management for large-scale internal and customer events within the U.S.
The successful candidate must be able to focus on the pre-planning and execution side of food and beverage for events, be an operational contributor for all day-to-day processes, manage and reconcile F&B budgets, support execution of tactics, activities, and other details.
Secondary responsibilities will include supporting and/or managing other event planning work streams as defined by manager.
Must be a team player working collaboratively with marketing and cross-functional teams.
What You’ll Do- Planning and onsite executions of food and beverage management for our two US customer Summits, and internal Field Kickoff (2,500 - 3,500 attendees depending the event)
- Develops F&B menus for Veeva programs including any ancillary meetings associated with the core program
- Review attendee projections/estimates and works with Veeva marketing ops team on headcount estimates
- Responsible for finalizing F&B counts for each program element
- Submits menus and headcount to venue and works closely with the venue on any special requests
- Manages venue to Veeva expected service levels defined in our events best practices documentation
- Manages and maintains Veeva F&B planning spreadsheets and planning docs
- Ensures flawless execution, quality of service, and timely delivery of all necessary components and materials for each event
- Short- and long-range planning and proactive management and prioritization of timelines and priorities
- Developing YoY cost per head analysis against each program component that you manage and each line of business/service offering so that we can make informed decisions on size/location of events
- Reconciles and closes out final billings with venues
- Secondary:
Support and/or manage other program work streams as directed
- 5+ years experience in corporate events managing major work streams
- 3+ years experience in corporate events managing food and beverage
- 1+ year experience working on large scale events in a convention center
- Thrives in a fast-paced, high-pressure environment
- Proven excellence participating in cross-team program management
- Highly organized with superior attention to detail
- Exceptional written and oral communication skills
- Proven ability to build relationships with other teams and across all levels
- Self-starter, proactive, and critical thinker
- Ability to travel 20-25%
