Job Summary

Under general supervision, wholly responsible for all aspects that pertain to designated customer account/s. Conduct telephonic and electronic follow‑up and closing functions for open HVAC work orders on designated account(s) to meet contractual obligations. The role ensures HVAC work orders are completed on time, handling daily HVAC service provider communications and updating the EMCOR system.

Essential Duties & Responsibilities
  • Manipulate Excel work order data to prioritize service provider communication.
  • Communicate regular updates with service providers and customers via phone regarding work order status.
  • Update and upload work order status into the system.
  • Coordinate and communicate with account team(s) on work order escalations and provider invoicing issues.
  • Notify account team representatives of work order reassignments.
  • Assist in dispatching work orders if the customer service rep/dispatcher is out of office.
Qualifications

Education

Associate’s Degree or equivalent experience.

Experience

Minimum two years in facilities maintenance, property management, or customer service with proven experience managing commercial HVAC service delivery.

Language Skills

Bi‑lingual English‑Spanish preferred.

Technical Skills

Advanced proficiency in MS Windows applications, including MS Excel and Word. Must type at least 50 wpm and have strong written communication skills.

Other Skills

Professional and friendly demeanor, work under pressure, make accurate decisions with limited input, communicate effectively with operations staff and call center team, critical thinking and problem‑solving, maintain a courteous demeanor, confidence in providing and receiving information, punctual and reliable.

Work Environment

Desk position with computer/monitors in a well‑maintained office. Remote work is essential.
