Role Summary

The Senior Client Service Associate is an experienced client service professional who independently manages high-touch client service and serves as a trusted partner to clients and prospects, Wealth Advisors, and internal teams. The Senior Client Service Associate is a primary contact for client service needs and is expected to exercise sound judgment, anticipate needs, and independently manage complex service matters in a fast-paced environment.

This role takes ownership of complex client requests, onboarding and transition activities, meeting preparation, account administration, and multi-step client projects from initiation through completion. The Senior Client Service Associate anticipates client service and advisor support needs, resolves routine service issues before they escalates, and coordinates effectively across advisory, investment, operations, trading, tax, billing, and other support teams.

The Senior Client Service Associate also serves as a resource and mentor to Client Service Associates by providing guidance, reviewing work, sharing firm knowledge, and supporting their development. This position does not have formal people-management responsibility.

This position is based in the greater San Francisco Bay Area
, depending on business needs and candidate fit. We anticipate a hybrid work arrangement, with regular in-office collaboration expected approximately 1–3 days per week. Remote work flexibility is supported, along with occasional travel.

Core Responsibilities Client Service and Relationship Support
  • Act as a confident and trusted point of contact for client and prospect relationships, responding to internal and external needs with professionalism, sound judgment, and appropriate urgency.
  • Develop a strong understanding of each client’s household, preferences, service history, and ongoing service needs.
  • Anticipate client service needs and proactively communicate developing issues, upcoming requirements, or follow-up needs to the advisory team.
  • Independently manage a high volume of client interactions and prospect-related service coordination, including inquiries, meeting logistics, service requests, and follow-up.
  • Own client requests from initial receipt through completion, setting clear expectations and providing timely updates to clients and internal team members.
  • Resolve routine internal and external issues independently and elevate material, sensitive, or unusual matters with appropriate urgency.
  • Adapt communication style and approach based on the client, situation, and subject matter.
  • Facilitate strong relationships between clients and prospects, and the broader Thread line Wealth advisory and operational teams.
  • Support client experience initiatives, including recognition of significant life events and other personalized client activities.
Client Onboarding and Account Administration
  • Independently coordinate the service and administrative activities associated with client onboarding, account transitions, and significant client life events involving multiple accounts, entities, custodians, or internal teams.
  • Prepare, review, and track internal and custodial documentation, client communications, CRM records, and required follow-up.
  • Conduct quality-control reviews to confirm documentation is complete, accurate, and consistent before submission or processing.
  • Gather, organize, and maintain prospect and client information in Microsoft Dynamics, Laserfiche, custodial platforms, and other internal systems.
