What You’ll Do
  • COURSE COORDINATION AND SCHEDULING:
    Plan and schedule courses and classroom usage with inputs from the department chair and faculty curriculum committees. Use Banner system for course scheduling. Schedule approximately 300 course and laboratory sessions per year, considering constraints across 11 degree programs, classroom and laboratory space, and faculty resources. Adjust instructors, course capacity, and room assignments as needed with input from leadership. Release advising holds for departmental and capacity restrictions when authorized.

    Coordinate textbook orders and room bookings for events using Live
    25. Provide support for department student organizations as needed.
  • COURSE AND PROGRAM ASSESSMENT:
    Collect, maintain, and analyze assessment data for courses and programs. Prepare reports for internal and external constituents. Compile data for curriculum committees to support continuous program improvement. Assist in accreditation report preparation for ABET and other external agencies. Support for online learning courses certified by Quality Matters. Support departmental certifications (e.g., NSA/ DHS CAE-CDE) and five-year cycle reporting to WVU bodies.
  • MAINTENANCE OF CATALOG AND CURRICULUM DOCUMENTATION:
    Maintain and update curriculum documentation, syllabi, learning objectives, and catalog descriptions in CIM. Identify infrequently offered courses for possible deletion. Monitor CIM change approvals. Update degree program changes in CIM and CMS. Maintain annual catalog information and ensure accuracy of department web pages and information brochures. Manage Transfer Equivalency Review requests and coordinate with faculty.
  • GRADUATE AND UNDERGRADUATE PROGRAM SUPPORT:
    Provide administrative support for six graduate programs and five undergraduate programs. Assist in recruiting, admissions processing, tuition waivers, and graduate assistantship offers. Help with visa approvals and orientation. Advise graduate students, monitor degree progress, and assist with plans of study. Schedule and organize qualifying exams and candidacy defenses. Maintain program web pages and related publications. Assist with Graduate Faculty status and coordination of syllabi and communications for students.
  • GENERAL ADMINISTRATIVE RESPONSIBILITIES:
    Coordinate and maintain records, communications, and documents related to department programs. Provide support for student events and organizational activities. Communicate deadlines, opportunities, and information to students and staff.
Qualifications
  • Bachelor's degree in education, counseling, STEM discipline, or related field.
  • At least one year of experience in administrative/clerical work, word processing, database/spreadsheet programs, and advisory or service-oriented environments.
  • Knowledge of correct English language usage and strong computer/software/web publication skills.
  • Ability to define procedural problems, evaluate data, and develop action plans; ability to establish cooperative working relationships.
  • Strong communication skills in meetings, committees, and one-to-one settings.
