Position Summary

Reporting to the Senior Associate Dean, the role provides dedicated coordination and follow-through for faculty awards by supporting communication with faculty and nominators, coordinating timelines and required components across departments, and serving as a consistent point of continuity throughout the application process. This includes translating award requirements into clear, actionable timelines; organizing required materials and documentation; monitoring progress toward key milestones;

and proactively supporting follow-up to keep submissions organized, complete, and on track for timely submission. In addition, the role provides editorial support for faculty award materials and requires the ability to work effectively with scientific and technical content to assist with preparing submissions that are clear, accurate, and responsive to award requirements, while preserving faculty ownership of the scholarly content.

Requirements

This position offers remote work eligibility, with the understanding that the Administrator will attend on-campus functions as necessary to support faculty needs. Per Rice policy 440, these arrangements may be adjusted based on operational requirements.

Salary

Hiring Range: $60,000 – $62,000

Minimum Requirements
  • Bachelor’s Degree (Degree in English, Communications, or a writing-intensive field preferred).
  • 2+ years of related professional experience in program administration or coordination, grant writing, or editing.
Skills
  • Strong written communication and editorial skills, with the ability to edit and refine complex written materials for clarity, accuracy, and alignment with award or fellowship requirements
  • Ability to work effectively with scientific and technical content to support preparation of award and fellowship submissions while preserving faculty ownership of scholarly content
  • Strong organizational and time-management skills, with the ability to manage multiple timelines, deadlines, and deliverables simultaneously
