Job Summary / Basic Function

Responsible for performing coordinative and administrative duties in the facilitation of support for the specified department. Candidates in this role must be able to work Monday through Friday, 8:00 am - 5:00 pm (Mountain Time), providing real-time scheduling support through Zoom, chat, and email while also completing assigned duties based on priorities. Relocation reimbursement is not available for this position. This position is not eligible for VISA Sponsorship.

The Operations team within the Division of Extended Studies comprises three distinct yet highly collaborative areas:
Customer Services, Scheduling Services, and Systems & Reporting. Each team is critical in supporting the division’s mission and contributes to high-quality service and operational excellence across all programs. We are committed to providing outstanding service to our campus partners and ensuring that all academic course scheduling activities are accurate, timely, and efficient.

Level Scope

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions
  • Contributing to divisional project teams, developing and implementing initiatives emerging from strategic planning.
  • Coordinates, monitors, and implements academic program related activities, following policies and procedures.
  • Coordinates the evaluation of program operations, course offerings, projects, processes, and procedures.
  • Works collaboratively with various university faculty and staff to complete various program related projects in alignment with deadlines.
  • Collects, manages, and edits data for academic program reports.
  • Ensures availability and delivery of support services are provided to the programs.
  • Develop, coordinate, deliver, and evaluate educational programs and training sessions, webinars, presentations, professional development offerings and in‑person training.
  • Analyzes data, generates and/or assists with, and disseminates periodic reports.
  • Works collaboratively to set program goals and coordinates the evaluation of program operations, course offerings, projects, processes, and procedures.
  • Responds to requests for information from faculty, staff, students, outside agencies, and community partners.
  • Adhere to the academic calendar and the course schedule development calendar that is published by the Registrar’s Office, and interpret University policies and procedures to confirm Extended Studies course scheduling adheres to these policies and procedures.
  • Maintain class scheduling details (including online, summer workshop, and program fees) for all academic classes scheduled by Extended Studies.
  • Generate batch and individual permission numbers for courses as needed.
  • Perform regular queries and audits to ensure class scheduling accuracy.
  • Troubleshoot student enrollment issues and elevate to various systems and Registrar teams as necessary.
  • Perform SIS testing for system updates quarterly (or as needed).
  • Participate in training opportunities for new department schedulers or campus-wide training sessions.
  • May perform other duties as needed.
