Position Summary

The program coordinator is responsible for supporting faculty in the Department of Humanities, Social Sciences, and the Arts (HSA) in their work as academic advisors and in their use of digital technologies in their teaching. Secondarily, the position shares some duties with the department's administrative coordinator, who has primary responsibility for a range of financial and administrative tasks relating to the day‑to‑day operations of the department, faculty searches, and special events.

Every student at Harvey Mudd must complete the HSA program in addition to the College's core requirements and major requirements. Because of this, the program coordinator interfaces with a large number of Harvey Mudd students seeking to navigate our course offerings.

The position requires excellent writing and verbal communication skills; an ability to master detailed information relating to the department's policies and programs and to communicate that information accurately to students as needed; knowledge of Canvas or equivalent learning management systems; an ability to quickly master online systems for managing course content and student information; and excellent organizational and interpersonal skills.

The program coordinator works under the supervision of the department chair but engages with all department faculty on matters including but not limited to student advising. The department chair appoints a faculty member to serve as advising coordinator, and this faculty member works especially closely with the program coordinator.

Duties and Responsibilities
  • Provide answers to routine HSA advising questions from Harvey Mudd students, redirecting to an academic advisor as appropriate. Hold Zoom office hours and advise undergraduate students on matters regarding the HSA program.
  • Help to maintain advising records tracking students' progress through the HSA department's requirements (which all students must meet as a condition of graduation).
  • Partner with the registrar's office and the department's faculty advising coordinator to regularly update the list of Claremont Colleges course offerings that count for HSA credit.
  • Support the faculty advising coordinator in managing the transition to the college's new student information system (Anthology). Develop and maintain a Canvas site related to HSA advising.
  • Maintain the sections of the department's website that relate to course offerings, departmental policies, and advising.
  • Interface with Academic Affairs to track advising needs of students on leave.
  • Time permitting, assist HSA faculty members in developing and refining Canvas LMS sites for their courses and in the preparation of other course material.
  • Work in partnership with the administrative coordinator to manage tasks related to faculty searches when the department has an open faculty position.
  • Perform other duties as assigned.
Required Qualifications

Education and Experience

  • Bachelor's degree.
  • At least three years of administrative or related work experience within an academic setting.
Knowledge, Skills, and Abilities
  • Knowledge of Microsoft Office and G‑Suite programs.
  • Knowledge of Canvas or equivalent learning management system.
  • Ability to work effectively with a variety of constituencies.
  • Ability to work independently, plan, prioritize tasks, and meet deadlines.
Preferred Qualifications
  • Knowledge of Word Press or other website design tools.
