The Program Coordinator provides second‑level support to students who need assistance with any course, program or degree offered through PCE when the Student Success Center is unable to resolve the issue. For online programs, the coordinator handles administrative and logistical support, including program planning, student consultation and advising, registration, course selection, ordering materials, scheduling, time management, and completion timelines. The role also involves reviewing online courses in the Learning Management System for quality assurance and maintaining course calendars, processing invoices, producing rosters, tracking course progress, and supporting program delivery.
The position requires excellent communication skills, attention to detail, and the ability to work independently and collaboratively in a fast‑paced environment.
- Serves as first‑level support to instructors.
- Responds to email and telephone communication within 24 hours.
- Monitors instructor participation in courses – both on‑ground and online.
- Collaborates closely with instructors and Academic Directors on student outreach related to academic progress and success.
- Coordinates the course approval process and documentation.
- Coordinates course scheduling.
- Creates course profiles in the enrollment system and submits for approval.
- Creates sections in the enrollment system including profile, instructor assignment, fees, budget, and grading, and submits for approval.
- Performs quality assurance on program websites and updates information as needed.
- Coordinates the Master Course List for all program planning.
- For online programs, proactively monitors course and program development and initiates self‑learning activities to stay abreast of content, policies, and promotional efforts.
- Serves as first‑level support to students if the Student Success Center cannot resolve the issue.
- Responds to email and telephone communication within 24 hours.
- Creates and updates Student Support Timelines and Program Manuals.
- For online programs, proactively contacts students each day by telephone to build and maintain relationships for retention.
- Monitors student progress in orientation and provides verbal guidance as needed.
- Creates a comprehensive Student Support Timeline with deadlines for registration, drop/withdrawal, course materials, financial aid, etc.
- Responds to student requests for assistance within 24 hours.
- Ensures timely postings of announcements, assignments, discussion questions, and exams.
- Conducts a Learning Preparedness Assessment via phone for at least 90% of new students.
- Communicates re‑registration deadlines and assists students who stopped out for a semester to re‑enter the program.
- Implements re‑entry initiatives to bring inactive students back into the program.
- Provides basic website training and technical support for students.
- Responds to all inquiries with courtesy, tact, and patience.
- Redirects calls to the proper individuals when necessary.
