Position: Proposal Coordinator (AEC)

Overview

Environmental Science Associates (ESA) is a 100% employee‑owned environmental consulting firm. We plan, design, permit, mitigate, and restore for projects across our communities, infrastructure systems, open spaces, and wildlands. With 21 offices across California, the Pacific Northwest, and the Southeast, we are 50 years strong.

ESA is looking for a Proposal Coordinator to join the Northwest Marketing Team in either Seattle, WA or Portland, OR. This role requires at least two years of relevant experience in the development and coordination of deliverables for RFP/RFQ in the Architecture and Engineering (A/E) market, with a preference for candidates who have worked in Washington or Oregon.

Responsibilities
  • Support the Northwest region in meeting and exceeding annual acquisition goals by creating and coordinating multi‑discipline proposals aligned with ESA’s strategic and market plans.
  • Manage multiple proposals concurrently in a fast‑paced environment, ensuring accurate, compliant, and creative content.
  • Streamline and monitor the client management process: receive, review, and distribute marketing leads; assist with data collection and records management in the CRM.
  • Assist with prime and sub‑consultant engagements and coordinate short‑list interview preparation.
  • Participate in regular marketing and business development meetings, support opportunity tracking, and identify strategic cross‑discipline and cross‑regional marketing opportunities.
  • Help with strategic marketing programs, including conference and event participation.
Qualifications
  • Minimum of two years of A/E/C industry experience in Washington and/or Oregon, or equivalent experience and/or education.
  • Strong written, oral, and presentation skills with excellent attention to detail.
  • Proactive, collaborative, and capable of working independently and as part of a team.
  • Strong MS Office Suite proficiency; knowledge of Adobe Suite (InDesign, Illustrator) is a plus.
  • Bachelor’s or Associate’s degree in Marketing, Journalism, Communications, English, or related field, or equivalent experience.
  • Ability to work in an office setting at least three days a week, including remote work options.
  • Interest in collaborating with planners, scientists, engineers, biologists, archaeologists, and designers focused on sustainability and nature.
