Job Description SummaryThis position provides administrative support to the Student Financial Services team, ensuring a high level of confidentiality in all tasks. The role is responsible for initial customer service and triage functions, maintaining student financial services records, and communicating relevant information to students and the broader college community. The employee will interact with students and support financial aid staff, student finance staff, student resource staff, and veteran education benefits staff.
WorkSchedule
Monday through Thursday: 8:00AM – 4:30PM or 9:30AM – 6:00PM
Friday: 7:30AM – 4:00PM
- Student Support & Services
- Serve as a primary contact for providing Student Financial Services information to prospective and current students.
- Communicate key information about student finance, financial aid, student resource navigators, and veteran education benefits.
- Assist students with finance‑related processes, including FAFSA completion, payment procedures and provide resources and referrals.
- Manage general email inboxes for the department, ensuring timely and professional responses to student inquiries and routing messages to the appropriate staff when necessary.
- Serve as a liaison between Student Financial Services and other areas of Fox Valley Technical College, facilitating understanding of related Student Services processes.
- Handle sensitive student matters professionally, including referring concerns to the manager when appropriate.
- Administrative Support
- Maintain the organization and processes in the imaging system for Student Financial Services, ensuring accurate documentation and workflow.
- Assist with administrative duties related to student financial services projects for the Director of Financial Aid, Student Finance Manager, and Student Resource Manager, ensuring tasks are completed accurately and efficiently.
- Assist in coordination of Student Financial Services outreach workshops (i.e., scheduling dates, appropriate conference rooms, classrooms, and computer labs).
- Submit work orders to facilities and media for proper room set‑ups and maintain inventory of workshop handouts.
- Assist in state and federal reporting requirements related to Student Financial Services.
- Student Worker Coordination
- Coordinate recruitment, hiring and training of student workers.
- Market efforts to recruit student workers; work with HR in the interview and hiring process; and collaborate with other team members to coordinate and facilitate student worker training.
- Assist in the evaluation of student worker performance, providing coaching and/or conflict resolution when necessary.
- Associate Degree in a business‑related program.
- Two years of recent related experience, preferably in an educational institution.
Intermediate skills in Microsoft Word, Excel, and PowerPoint. Experience in Workday is preferred.
Work EnvironmentWork must be completed in person, with occasional remote work opportunities. The work environment may change based on college needs.

Occasional mobility may be necessary for attending meetings, office tours, or events.
Lifting and Carrying:
Occasional/continuous lifting and carrying of light to moderate items (5–20lbs).

Capacity to perform repetitive motions, such as typing, without discomfort or injury.
Clear verbal and written communication skills are essential for interacting with employees, candidates, and stakeholders, both in‑person and electronically.

Additional Information- Pay Rate: $21.88 – $25.74 per hour (based on experience, qualifications, education, relevant certifications, internal equity, and market data).
