Position: Academic Records and Student Finance Supervisor (REGISTRAR SUPV 1)

Under the general direction of the Student Services Director/Registrar, the Academic Records and Student Finance Supervisor provides operational oversight and direct supervision for academic records, student financial services, and campus-based student services functions within Continuing and Professional Education (CPE). The position oversees the delivery of services related to student records and grading, alternative funding programs, veterans’ educational benefits, workforce training funds, and enrollment support for campus-based and collaborative academic programs.

The incumbent is responsible for ensuring the accuracy, integrity, and compliance of academic records and student financial processes while interpreting and applying institutional, state, and federal policies and regulations. The supervisor manages staff responsible for records, financial services, and student support operations.

Qualifications Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position.
  • Bachelor’s degree in higher education, business administration or a related field and/or equivalent training or experience.
  • Minimum of 3 years experience in academic records, registrar functions, student financial services, or compliance-related roles.
  • Experience interpreting and applying policies, regulations, and compliance requirements (e.g., academic policy, financial regulations, or similar).
  • Experience supervising staff and managing service delivery across multiple functional areas.
  • Experience managing complex processes and resolving issues involving multiple stakeholders and systems.
  • Experience working with enterprise systems (e.g., student information systems, financial systems, or CRM platforms) and maintaining data accuracy and integrity.
  • Strong analytical and problem-solving skills, with experience using data to support reporting, audits, and operational decision‑making.
Preferred Qualifications
  • Experience in continuing and professional education, extension, or non‑degree program environments.
  • Experience with student financial services, including alternative funding sources (e.g., workforce funds, veterans’ benefits, or similar programs).
  • Demonstrated experience supporting audits, reporting requirements, or compliance reviews.
  • Demonstrated experience leading cross‑functional initiatives and process improvement efforts.
  • Knowledge of UC academic records policies, grading practices, and registrar functions.
