Job Summary

Under the supervision of an Assistant Dean of Students, responds to students (and families), faculty, and staff seeking information, guidance, and support about a range of student‑related issues for the Connie Frank CARE Center (CFCC) within the Office of the Dean of Students, part of the Division of Student Affairs. Manages the absence letter process and provides guidance to students as they negotiate absences from class.

Duties & Responsibilities
  • Under the supervision of an Assistant Dean, respond to students, families, faculty, and staff who seek guidance around a range of student‑related academic, health, and personal issues from the Connie Frank CARE Center in the Office of the Dean of Students.
  • Assist Deans in responding to daily case management functions through virtual and in‑person means including but not limited to issues related to student emergencies, referrals, and drop‑in requests.
  • Manage the absence letter process and provide guidance to students as they negotiate absences from class.
  • Assist deans in referring students to appropriate resources, support, and options.
  • Assume responsibility for additional assignments based on office needs and staff skills and interest, including but not limited to emergency call center planning, policy and procedure development, database management, off‑campus community living, behavioral intervention and threat assessment, etc.
  • Develop and maintain an accurate working knowledge of campus resources, policies, and procedures which are most relevant to the needs of Illinois students and clearly articulate these to constituents.
  • Maintain a high quality of documentation of work, including notes and other case files, in the Maxient database system.
  • Refer higher level cases, including students with acute psychiatric emergencies, psychiatric hospitalizations, suicidal ideation, and significant mental health concerns, and reports of sexual misconduct, to Assistant Deans for response.
  • Represent the Connie Frank CARE Center in outreach opportunities.
  • Participate in proactive programming through planning, coordination, and management.
  • Develop training curriculum for office staff on workflow processes and leveraging technology.
  • Serve on Division of Student Affairs/university committees and other university‑related events as needed which may include some after‑hours activities.
  • Under the supervision of Assistant Deans, assist in planning the annual campus memorial to honor students who have passed away.
  • Assist Deans in completing projects and assignments, marketing CFCC services, and assessment efforts; and other duties as assigned to further the mission of the unit.
Work Schedule, Travel, or Other Job Expectations

Hybrid work environment of 1–2 days per week remote work, dependent upon office needs.

Required Qualifications

Education:

Bachelor's degree.

Experience:

  • A total of one (1) year (12 months) in education, training and/or work experience in higher education student programming.

Note:

Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications

Education:

Master's degree in counseling, social work, higher education, student personnel, or related field.

  • Experience assisting students in crisis and/or who need high levels of support.
  • Experience working with database systems such as Maxient or Symplicity's Advocate.

  • Knowledge of student development theory.
  • Ability to prioritize work and successfully perform duties independently.
  • Strong communication skills.
  • Ability to work with students from a wide range of backgrounds.
  • Aptitude for creating and fostering positive, constructive work team environments.

Appointment Information

This is a 100% full‑time Civil Service 5002 – Program Coordinator position, appointed on a 12‑month basis. The expected start date is as soon as possible after 9/7/2026. The budgeted salary range for the position is $50,000 – $53,000.
