Life Long Learning Program Coordinator Job Summary

Program Specialists

Lifelong Learning connects the University of Utah to adult learners(18+) across the state through in-person and online classes that promote personal exploration, growth, and community engagement. Weprogram approximately 500 adult enrichment classes a year, spanning visual and performing arts, current events, recreation, wellness and relationships, literature, and so much more. The Lifelong Learning Program Coordinator supports the planning,execution, and evaluation of personal enrichment classes offered through the Lifelong Learning program. This role ensures smooth classroom operations, oversees class materials purchasing,processes instructor and partner payments, provides exceptional customer service to instructors and students, and contributes tothe development of new programming.

Responsibilities

Program Specialists, III

Purchasing & Accounting:

  • Coordinate with instructors and colleagues to procure class materials and calculate special fees based on anticipated costs.
  • Process instructor payroll in accordance with university policies, procedures, and deadlines.
  • Receive and reconcile purchases and invoices to ensure accurate financial records.
  • Process invoices, purchasing card (PCard) transactions, and other program-related payments in accordance with university procedures.
  • Compile semester program and expense data, prepare financial summaries, and provide recommendations to support data-informed review of special fees and program costs.

Instructor & Student Support:

  • Communicate promptly and thoroughly with instructors regarding required class materials, syllabi, handouts, and class needs.
  • Respond to student inquiries and provide guidance throughout thecourse lifecycle.

Class Coordination:

  • Facilitate setup and support for classes, including materials preparation and instructor assistance.
  • Monitor and run classes, enroll/drop students, and manage class logistics.
  • Be present for evening and Saturday sessions as scheduled.

Administrative Duties:

  • Maintain accurate records in spreadsheets and databases in coordination with the team.
  • Answer phone calls and monitor the Lifelong Learning email inboxin coordination with the team.

Program Development:

  • Assist in catalog creation, maintenance, and distribution.
  • Collaborate with team members to identify and implement improvements.

Team

Collaboration:

  • Participate in weekly meetings and contribute agenda items related to program enhancements.
  • Cross-train with other coordinators to ensure coverage during absences.
  • Collaborate with colleagues in the creation of social media content to support marketing efforts.
  • Work well with colleagues and support a positive team culture.
Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience(Example: bachelor's degree = 4 years of directly related work experience).

Program Specialists, III: Requires a bachelor's(or equivalency) + 6 years or a master's (or equivalency) + 4 yearsof directly related work experience.

Preferences
  • Strong organizational, analytical, and communication skills
  • Experience in customer service, purchasing, and invoiceprocessing
  • Familiarity with adult education or community programming
  • Proficiency in Microsoft Office 365 tools and Salesforce
  • Ability to work independently and manage multiple priorities
  • Availability for evening and weekend work

Work Schedule

Summary:

A flexible schedule is important.

Classes take place on weekday evenings and on Saturdays. This position is expected to build relationships with instructors,students, and other members of the community, especially while classes are in session.

The anticipated schedule, which includes a1-hour lunch break, is Monday through Thursday, 10:00 am-7:00 pm,Fridays 8:00 am-5:00 pm, and at least one Saturday a month.

HYBRID WORK OPPORTUNITY:
Employees must reside in the state of Utah butwill have the opportunity to work a hybrid schedule of in-personand remote work.
