Project Coordinator (Vendor Surveillance)
Location: Houston, TX (Hybrid – Work from Home Wednesdays & Fridays)
Contract: 12+ Months
The OpportunityAn established energy infrastructure organization is expanding its Construction Management support team in Houston. This role will support multiple project programs entering the construction execution phase and will serve as a key coordination point between vendors, inspectors, engineering, and internal stakeholders.
The Vendor Surveillance Coordinator will play a critical role in ensuring vendor compliance, inspection readiness, and documentation quality across pipeline and facilities projects. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced project environment with minimal supervision.
What You’ll Do- Monitor vendor activities to ensure compliance with internal policies and applicable regulatory requirements
- Participate in meetings and coordinate communication across project stakeholders
- Review vendor Inspection and Test Plans (ITPs) for alignment with project specifications and coordinate with engineering disciplines as needed
- Distribute finalized documentation packages to inspection teams
- Coordinate inspection-related RFIs and NCRs, supporting resolution paths based on risk and impact
- Review inspection reports and turnover packages (e.g., MTRs), escalating issues when required
- Support the development and maintenance of inspection checklists and standardized technical requirements
- Contribute to continuous improvement initiatives by identifying trends and potential risks in real time
- Monitor KPIs and support supplier performance management, including manufacturing and inspection agencies
- Track inspection and test packages and generate reports as required
- Perform additional project support tasks as assigned
- High School Diploma
- 2–4+ years of experience in vendor surveillance, project coordination, business analysis, construction management, or similar roles
- Demonstrated experience managing business relationships and supporting cross-functional teams
- Working knowledge of inspection practices related to pipelines, facilities, manufacturing processes, and shop surveillance
- Exposure to construction or operational field environments preferred
- Strong analytical, problem-solving, and decision-making skills
- Intermediate to advanced proficiency in Microsoft Project and MS Office, particularly Excel and Power Point
- Comfortable presenting information and participating in group discussions
- Military service (relevant MOS) may be considered in lieu of direct industry experience
- Associate’s degree in Engineering (Mechanical, Electrical, Civil, or related discipline)
- API 510 certification
- Background in Construction Management or a related field
- Ability to review inspection test plans, welding procedures, and quality documentation
- Familiarity with industry standards such as ASME, ASTM, and ISO 9001
