Job Description & How to Apply Below

We're looking for people who take pride in their work, care deeply about others, and want to create exceptional experiences. The Senior Event Producer role is Kapture's most experienced event producer. You will own the full life cycle of your assigned productions — from client briefing and planning through on-site execution and post-event reconciliation. You will serve as the primary client contact on your projects, manage the full vendor ecosystem, and lead the event team on-site.

When not leading your own projects, you will serve as senior support on productions led by colleagues.

Client & Project Management
  • Serve as the primary point of contact for assigned clients — leading communication, managing expectations, and ensuring satisfaction throughout the engagement.
  • Develop a thorough understanding of each client's goals, brand standards, and definition of success.
  • Manage project timelines, budgets, staffing plans, and deliverables with accuracy and accountability.
  • Lead weekly production calls with internal and external stakeholders — driving decisions and keeping projects on track.
Production & Logistics
  • Venue & Food and Beverage — venue sourcing, space planning, menu creation, service staff expectations.
  • Design & Production — scenic design, furniture rentals, custom fabrications, tech integration, experiential gifting.
  • AV & Show Production — AV vendor management and show execution in partnership with the VP of Production.
  • Entertainment & Activations — sourcing and managing entertainment, activations, and experiential elements.
  • Staffing & Logistics — brand ambassadors, security, credentialing, registration, permitting, transportation, COIs.
  • Maintain master budgets, payment sheets, design decks, and receipts throughout the planning process.
  • Negotiate and manage all vendor contracts and post-event payment reconciliations.
On-Site Management
  • Act as Lead Producer on-site for all assigned projects — managing the full team, timeline, and guest experience.
  • Support as senior Event Manager on productions led by colleagues.
  • Manage pre-production, installation, run-of-show, and strike.
Post-Event & Team
  • Reconcile event budgets and submit post-event recap reports.
  • Send vendor thank you notes and manage any outstanding post-event items.
  • Mentor junior producers; model the professionalism, hospitality, and problem-solving mindset that defines Kapture.
Commitment
  • Full-time Monday-Friday, 8am – 5pm, plus any additional hours necessary to meet deadlines. No overtime compensation and must be available nights and weekends, as well as able to travel on short notice.
  • Monday, Wednesday, Friday – Work from Home
  • Tuesday & Thursday – Work from Irvine Office
  • You've produced complex live events for at least 5 years, and know what it takes to deliver under pressure.
  • You take ownership. You don't wait for direction—you anticipate needs, solve problems, and follow through.
  • You care as much about the details as you do the overall experience.
  • You communicate with confidence, earn trust quickly, and are comfortable leading client conversations.
  • You're curious by nature. You embrace AI, new technology, and better ways of working efficiently.
  • You can think strategically, execute relentlessly, and shift gears when the moment calls for it.
  • You're highly organized, and you know how to keep multiple projects moving without dropping the ball.
  • You enjoy working alongside a talented, kind and dynamic team
  • You bring a positive attitude, a sense of humor, and treat everyone—from clients to venue staff—with professionalism and respect.
  • You're an ace at Microsoft Office, Canva, Social Tables, and learning whatever comes next.
  • You're excited to travel and work the schedule that live events require—including some evenings and weekends.
  • You have a keen eye for design or experience with graphic design
