Shepard Wealth Advisors, an independent financial advisory practice affiliated with Wells Fargo Advisors Financial Network (FiNet) and FCS Private Wealth Management, is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership and enhance the overall client experience.
About the RoleThis role is critical in supporting a fast-paced, relationship-driven wealth management practice operating within the Wells Fargo Advisors FiNet platform. The ideal candidate is a critical thinker that understands the importance of compliance, discretion, and service excellence in a highly regulated financial environment.
Responsibilities Executive & Advisory Support- Manage complex calendars, appointments, and strategic planning schedules
- Prepare reports, presentations, and meeting materials using firm-approved systems
- Coordinate internal and external meetings, including client review meetings
- Assist in preparing financial review documentation and account summaries
- Track follow-ups and ensure timely execution of action items
- Serve as Receptionist for small, boutique wealth advisory practice
- Serve as a key point of contact for clients, delivering a high-touch service experience
- Assist with client onboarding, account paperwork, and documentation in accordance with Wells Fargo Advisors FiNet compliance standards
- Process account maintenance requests and service-related paperwork
- Maintain accurate client records within CRM and firm systems
- Coordinate client events, appreciation initiatives, and communications
- Support adherence to Wells Fargo Advisors Financial Network policies and regulatory requirements
- Maintain organized files and documentation consistent with industry regulations
- Assist with audit preparation and supervisory requests as needed
- Liaise with home office partners and custodial support teams
- Monitor workflow to ensure operational efficiency and regulatory accuracy
- Oversee daily office operations
- Serve as Office receptionist
- Manage vendor relationships and supply inventory
- Support marketing initiatives within firm guidelines
- Assist with strategic growth initiatives and special projects
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with CRM systems and financial service platforms preferred
- Exceptional organizational skills with strong attention to detail
- High level of professionalism, discretion, and confidentiality
- Experience supporting a financial advisor, RIA, or broker-dealer practice preferred
- Working knowledge of brokerage operations and compliance environments preferred
- Strong understanding of regulated financial environments
- Ability to prioritize and manage multiple deadlines
- Excellent written and verbal communication skills
- Proactive problem-solver with strong follow-through
- Professional presence and relationship-building ability
- Base salary range $65k-85k based on experience and credentials
