Operations Associate I

Basic Function: In a team environment and in a timely manner, establish and maintain employer plan documents, process incoming TPA approvals, assist with TPA & employer billing reconciliation of invoices, monitor Spark files and provide support to advisors, employers and various TPA companies. Establishing and maintaining Loans.

Responsibilities
  • Establish and maintain employer / TPA relationships
  • Review and execute Service Provider and TPA agreements
  • Review employer plan documents and update AS400 and Next
    360
  • Maintain employer restrictions in the AS400
  • Resolve WIs in Account Central workflow
  • Monitor WIs in the workflow queue, review new items and take appropriate action to resolve
  • If further research is required, put the WI on hold and expedite a resolution
  • Employer Plan Services – monitor and update employer requirements for the following services available to employers and TPA’s
    • Plan Sponsor Websites
    • Employer Reports
    • TPA Spark Data Sharing Files
    • ERISA Plans
  • Employer Audits
    • Provide supporting documentation for employer and IRS audits
  • Monitor incoming and outgoing employer and TPA correspondence
  • Assist with regulatory mailings
  • TPA Approvals
    • Assist with requests for 403B and 457 transaction approval
  • Assist with TPA and employer billing reconciliation and payment of outstanding invoices.
  • Loans
    • Establish new loans
    • Maintain existing loans, daily service requests and inquiries
    • Handle loan NSF charges, balancing daily bookkeeping file and initiating loan wires
    • Monthly loan letters and loan corrections
  • Items for Attention (IFAs)
    • Run daily IFA report
    • Record and research rejections
    • Communicate to advisors or resolve trades as needed
Knowledge/Experience

Required:

  • Strong understanding of mutual fund processing procedures.

Preferred:

  • Understanding of retirement plans
  • Strong knowledge of various AS400 systems.
  • Spreadsheet software (Microsoft Excel).

Education/Training

Bachelor's degree and/or equivalent combination of education and/or related experience.

Certification/Registrations

Series 6 preferred

Physical/Other Requirements

May sit at workstation for extended periods of time. May view computer screens for extended periods of time. Ability to work in a fast‑paced environment as needed.
