Finance Specialist – Reporting and Accountant

Location: Dean of Research, Redwood City, California, United States

Position Summary

The Office of Technology Licensing (OTL) at Stanford University seeks a Finance Specialist – Reporting and Accountant to manage the accuracy and integrity of licensing‑related financial records. Responsibilities include reviewing and entering fully executed license agreements into OTL’s database (4D), configuring license terms that trigger billing and compliance actions, and supporting the creation and maintenance of Royalty Sharing Agreements (RSAs) to ensure accurate and timely distributions to recipients.

The role collaborates with OTL Finance, Licensing, and Operations teams, produces high‑quality operational reports, supports technical reporting and analytics, and participates in month‑end close activities.

Core Duties
  • Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance.
  • Identify, prioritize, and resolve accounting issues; perform preliminary analysis to uncover underlying problems.
  • Run, maintain, reconcile, review, and analyze financial data sets from multiple systems.
  • Identify and correct incorrect journal entries and data anomalies.
  • Collect data and research transaction details to ensure compliance with internal policies and external regulations.
  • Participate as a team member, contributing to change management and collaboration with other departments.
  • Recommend and implement process improvements, technology upgrades, or workflow changes.
  • Develop and maintain desktop procedures and process documentation for the area of responsibility.
  • Serve as a liaison to other departments to resolve accounting‑related issues.
  • Provide training, coaching, and review of work for other staff, as needed.
Minimum Requirements
  • Associate degree plus two years of applicable experience, or a combination of education and relevant work experience.
Knowledge,

Skills and Abilities
  • Proficiency in Microsoft Office and spreadsheet applications.
  • Basic knowledge of accounting systems and the internet; strong computer literacy.
  • Understanding of and ability to apply accounting skills and concepts.
  • Strong written and verbal communication skills for drafting professional emails, memos, business letters, and reports.
  • Ability to learn project‑management skills and work as part of a project team.
Preferred Knowledge,

Skills and Abilities
  • Financial accounting knowledge and understanding of accounting principles, financial statements, and relevant regulations.
  • Analytical skills to assess financial data and trends.
  • Exceptional attention to detail.
  • Proficiency with accounting software and financial management tools.
  • Effective communication skills for interacting with team members and non‑finance stakeholders.
  • Comfort with non‑accounting finance administrative tasks.
Physical Requirements
  • Frequently stand/walk, sit, use a computer, and use a telephone.
  • Occasionally write by hand, twist/bend/stoop/squat, reach above shoulders, and perform light to moderate carrying and pushing.
  • Occasionally kneel or crawl, and operate foot or hand controls.

Benefits and Pay

This is a 100% FTE, benefits‑eligible position. Remote work is available to candidates located anywhere in the United States.

Remote Pay Range: $71,129 to $87,717 per annum.

On‑Campus Pay Range: $81,192 to $101,964 per annum. Compensation is determined by location, qualifications, experience, and other factors.
