Job SummaryStudent Finance Specialists manage student accounts, bill students, provide customer service, collect on delinquent accounts, process financial transactions, move charges to sponsor contracts and invoices, and reconcile cash, revenue, and financial aid accounts. This position serves as a backup to Student Finance Specialist II and processes refunds.
Work ScheduleMonday, Tuesday, Thursday, Friday: 8:00 AM – 4:30 PM
Wednesday: 8:00 AM – 6:00 PM (rotating coverage of later hours)
Essential Functions and Responsibilities- Move student accounts to sponsor contracts; manage over 4,500 sponsor organizations; invoice sponsors and industry/government systems; adjust sponsor accounts for drops; reconcile sponsor accounts; refund sponsors when required; review past‑due invoices; reach out to resolve balances; maintain sponsor information.
- Serve as primary point of contact for student and sponsor inquiries via phone, text, email, and in‑person; assist in navigating payment options, including electronic payments and payment plans; connect students with financial need to appropriate assistance; work with departments to resolve disputes, enrollment issues, or discrepancies; explain policies; point students to appeal procedures.
- Operate in compliance with FERPA, Department of Education financial aid regulations, WTCS administrative guidelines, and FVTC policy; ensure timely financial aid refunds and collection of Title IV funds; ensure accurate records for 1098‑T; stay informed about collections rules, bankruptcy, statute of limitations.
- Review student account billing, ensure accuracy of charges; bill students electronically; send electronic and paper communications to past‑due students.
- Maintain the student finance website: update due dates and other important account information; provide updated information for new student registration packets.
- Reconcile daily bank activity; apply wire and ACH payments appropriately; handle non‑sufficient funds; manage stale check process; coordinate re‑issuance or voiding of checks.
Education:
Associate degree in Accounting or related field.
Experience:
Two years of related work experience.
Skills:
Intermediate proficiency in Microsoft Excel; flexibility in work schedule.
Hybrid environment (in‑person and virtual). Workflows may change as college needs evolve.
Physical Requirements- Sitting: extended periods while using computer systems.
- Mobility: occasional mobility for meetings or events.
- Lifting/Carrying: occasional light to moderate items.
- Communication: clear verbal and written communication skills essential.

Pay & BenefitsPay Rate: $21.88 – $25.74 per hour, based on experience, qualifications, and market data.
