Connecticut Wealth Management (CTWM) is a well-established, fast-growing, independent, registered investment advisory firm. We are seeking a highly organized and tech-savvy Client Service Specialist to help power the client experience within our advisory team. This role blends client service, financial operations, and technology-enabled workflows, making it ideal for professionals with backgrounds in wealth management, fintech, financial services operations, or client-facing roles in technology organizations.

This role will manage the operational infrastructure that supports our advisors and clients—ensuring a seamless experience across account administration, digital platforms, and client interactions. This position functions as the operational hub of the advisory team, helping to maintain efficiency, accuracy, and exceptional service for our teammates and clients.

Responsibilities:

Client Operations & Account Management

Partner with advisors to support a portfolio of clients by managing account and operational activities, including:

  • Opening and onboarding new investment accounts
  • Processing account transfers and rollovers
  • Managing money movement
  • Depositing client checks and processing transactions
  • Updating account details such as contact information, trustees, and beneficiaries
  • Maintaining and organizing client documentation and records

Client Experience & Relationship Support

  • Communicating with clients via phone, email, and virtual channels
  • Supporting advisors in client meetings and follow-up servicing tasks
  • Building trusted relationships with clients and helping ensure their needs are addressed efficiently
  • Assisting clients in navigating the firm’s digital platforms and tools

Advisory Team Operations (“COO” Function)

Act as the operational quarterback for the advisory team by:

  • Tracking client requests and operational workflows
  • Generating reports and monitoring outstanding tasks
  • Improving organization and process efficiency across the team
  • Ensuring consistency in how client service and operations are executed

Problem Solving & Issue Resolution

Take ownership of complex service requests by:

  • Researching and resolving client inquiries
  • Coordinating with custodians and external partners
  • Escalating issues when appropriate and ensuring full resolution

Data Quality & Reporting

Maintain high standards for data integrity by:

  • Entering and updating client information across systems
  • Running reports and verifying data accuracy
  • Ensuring records are complete and compliant

Work closely with colleagues to:

  • Share insights and operational improvements
  • Develop best practices for client service and operations
  • Contribute to a culture of excellence and continuous improvement
As Needed:
  • Welcome clients to the office space and direct inbound phone calls. May be responsible for other internal administrative responsibilities.
Requirements:
  • Must be a collaborator and possess a client-first and solution-oriented attitude.
  • Experience working in the financial services industry with private, high net-worth clients is a plus.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Excellent written and verbal communication skills. Ability to discuss general information with teammates, clients, and business partners.
  • Exceptional attention to detail, organization, efficiency, and timeliness.
  • Exceptional confidentiality and professionalism.
  • Must be comfortable in a highly digital environment, and master transacting/documenting in several different systems.
  • Proficient in use of Microsoft Office suite and CRM software. Salesforce experience is a plus.
  • High school diploma or equivalent; college degree preferred.
  • Will need to work in our Farmington, CT office regularly with work from home flexibility.
