We are seeking an Accounting Specialist, Payroll and Retirement Plans to calculate and provide monthly and biweekly payroll (50% of the time) and administer the Profit Sharing Trust and 401(k) plan for our company. The role also supports payroll, shareholder, and benefits functions.
Responsibilities Payroll- Processing biweekly and monthly payroll for 3,500+ employees across multiple states, including overtime, deductions, bonuses, and other adjustments.
- Managing the payroll cycle workflow and using the payroll vendor.
- Handling parental leaves, leaves of absence, time without pay, and terminations.
- Managing changes in schedules, health insurance, taxes, and other employee information.
- Maintaining and documenting all payroll records and personnel files.
- Receiving management approval for payments when required.
- Processing salary changes, deductions, bonuses, vacation payouts, and benefits payments.
- Coordinating employment verifications with external companies.
- Responding promptly to payroll queries.
- Analyzing payroll issues and recommending corrective actions.
- Addressing member questions regarding loans and distributions.
- Preparing distribution paperwork, processing distributions and withholding taxes.
- Administering loan policies, including follow–up processes.
- Processing loan applications and calculations.
- Processing year–end tax forms (1099s).
- Monitoring cash flow.
- Addressing member questions and guiding them through the provider’s website.
- Working with service providers to support plan operations and broadcast financial wellness offerings.
- Maintaining fiduciary responsibilities, monitoring performance of the plan, providers, and fees.
- Coordinating communications to staff and the internal fiduciary committee.
- Preparing year–end audit work papers and assisting with audit.
- Preparing and verifying annual reports, compliance testing, and Form 5500 filings.
- Monitoring legislative changes and working with providers to implement changes.
- Supporting payroll processing and benefits administration functions.
- Providing shareholder services support (dividends, direct–deposit changes, mailing address changes).
- Assisting with projects and year–end activities.
- Maintaining confidentiality of staff data per state and federal laws and internal controls.
- Bachelor’s or associate degree in accounting or related coursework, and 2–3 years of applicable experience or military experience.
- Previous retirement plan administration experience.
- Previous accounting/payroll experience.
- General knowledge of the accounting cycle.
- Strong analytical, problem–solving, and numerical aptitude.
- Ability to interact effectively with all levels of management.
- Strong attention to detail.
- Exceptional organizational and written/ verbal communication skills.
- Proficiency in Excel and its functions.
- Ability to multitask in a fast–paced environment.
Hiring salary range: $57,600 – $69,600 per year. Salary is determined based on skills, experience, and education. Position DetailsThis is a hybrid role that includes a blend of in‑office and remote work as designated by management.
