Position: Accounting Assistant III (Remote) - Arts and Sciences

37.5. This position is primarily remote, but candidates must reside in the St. Louis Metropolitan Area, as we occasionally visit campus for meetings and other activities. This role serves as the primary budget and financial support person for multiple academic units and is a member of the Arts & Sciences Finance Cluster. Arts & Sciences Administrative Clusters provide academic units with fundamental support in budget and finance, grants, faculty and student matters, and events.

Duties & Responsibilities
  • Initiate, review, and approve purchasing transactions in Workday; maintain paperless documentation; review all purchases for appropriate grant or university funding allocation and correct budget coding.
  • Review procurement card transactions for University compliance, ensure accurate budget reporting; alert cardholders of prohibited practices and resolve issues by reimbursement deposition.
  • Process spend authorizations, review supporting documentation, and submit approval‑ready travel expense reports per university/funding agency guidelines.
  • Process internal and external invoices; review reimbursement requests for correct grant/university funding allocation and budget coding; advise on compliance issues before processing.
  • Enter requisitions into the Marketplace purchasing system and monitor the purchasing process.
  • Collaborate with academic‑unit leadership on the annual budget process; provide entry and reconciliation support; monitor account balances, maintain encumbrances, and process journals and budget amendments.
  • Complete year‑end financial closing procedures.
  • Coordinate with payroll representative to ensure accurate onboarding, bi‑weekly, monthly, and stipend payments; review payroll distributions.
  • Prepare accounting, financial, and budget reports as needed for academic units and central offices; assist faculty and departments with post‑award grant reporting and reconciliation duties.
  • Perform other duties as assigned.
Required Qualifications

Education:

High school diploma or equivalent, or a combination of education and experience. No specific certification or professional license is required.

Work experience:

Accounting, business, administrative support (minimum 3 years). Driver’s license: not required.

Preferred Qualifications
  • College degree in business or relevant field.
  • Accounting/Bookkeeping experience (minimum 4 years).
  • Skills in accounting journal entries, communication, confidentiality, deadline management, detail orientation, error correction, financial transactions, invoices, meeting organization, Microsoft Office, multitasking, oral communications, service orientation, judgment, Workday software, and work efficiency.
Salary

Grade G08‑H; hourly rate $21.17 – $32.85. Individual rates within the range are determined by qualifications, performance, equity within the department, and market rates for the position.
