Job Summary

The Gift Processing Manager leads gift processing operations for PBS Wisconsin and Wisconsin Public Radio, ensuring the accurate, timely, and compliant recording of contributed revenue in constituent management systems that drive donor relationships and support financial reporting. This position supervises a team of three Gift Processing Specialists, reviewing and approving complex gift transactions, including adjustments, reversals, refunds, and corrections, and ensuring gifts are accurately recorded to support fundraising, donor acknowledgment, and financial reconciliation.

The role requires both hands‑on execution of gift processing and account management tasks, and leading and supervising the work of the gift processing team. It also serves as a resource for best practices around gift entry for fundraising staff, with an emphasis on Membership and Major Gifts.

Key Responsibilities
  • Train staff on financial processes and best practices.
  • Review and approve complex transactions and assign funding codes in accordance with established rules, regulations, and policies.
  • Monitor financial transactions and fund balances and generate and reconcile complex reports and statements.
  • Review transaction processing internal controls and recommend policies and procedures.
  • Answer complex fiscal questions and provide information based on set materials and standards to various audiences.
  • Draft communications and reports and maintain organization of varied records to provide administrative support within a specified work unit.
  • Reallocate expenses to appropriate funding strings.
Required Qualifications
  • Demonstrated experience processing and monitoring financial transactions, including high‑volume, bulk, and/or automated processing procedures.
  • Exceptional and consistent attention to detail to ensure the accuracy and completeness of transaction records and donor accounts.
  • Strong analytical and problem‑solving skills to interpret data and investigate and address inconsistencies and errors.
  • Experience creating clear, accurate written process documentation.
  • Strong verbal communication skills to conduct training, coach direct reports and other colleagues on procedures, and communicate directly with donors as needed.
Preferred Qualifications
  • Supervisory or lead worker experience, preferably including hiring, training, providing constructive feedback and managing performance.
  • Experience processing common types of charitable contributions in a nonprofit environment (annual gifts, recurring donations, donor‑advised funds, qualified charitable distributions from IRAs, gifts of stock).
  • Experience managing customer or donor information in a constituent relationship management (CRM) system.
  • Experience designing and delivering effective training, especially translating technical processes into understandable instruction.
  • Experience working with PCI (Payment Card Industry) standards as they apply to a sales or nonprofit fundraising environment.
Education

Bachelor’s Degree – Preferred.

Compensation & Benefits

The expected salary range for this position is upper $60,000s to low $70,000s. Actual pay will depend on experience and qualifications. The position offers a comprehensive benefits package, including generous paid time off, competitively priced health, dental, vision, and life insurance, tax‑advantaged savings accounts, and participation in the nationally recognized Wisconsin Retirement System (WRS) pension fund.

Work Arrangements

This is a full‑time position that works core business hours Monday – Friday, 8:00 a.m. – 4:30 p.m. Evening and weekend hours are required during quarterly member drives. The role is hybrid: a minimum of two days per week in person on the University of Wisconsin‑Madison campus; remote work is possible under a flexible work arrangement (FWA) for qualified candidates who have their own high‑speed internet and phone.

The final schedule can be discussed at the offer stage; fully remote candidates will not be considered.
