Position Summary

The Finance Assistant provides administrative, coordination, data‑entry, documentation, and basic financial processing support to the Finance Department, supporting the Director of Finance and IT. The role helps maintain accurate financial records, coordinates documentation for payroll, budgeting, audits, Finance & Audit Committee meetings, and membership‑related financial administration. The position does not independently approve expenditures, interpret complex financial policy, make payroll entitlement decisions, or exercise supervisory authority.

Decisions in that area are escalated to higher‑level staff.

Key Responsibilities
  • Support the Director of Finance and IT with scheduling, deadline tracking, record organization, and maintaining finance‑related files.
  • Assist with bank and credit card reconciliation and organization of supporting records.
  • Support payroll and leave administration by collecting, organizing documentation, entering or verifying routine information in systems, and identifying missing data for follow‑up.
  • Maintain employee payroll, leave, benefit, and pension records under the direction of the Payroll and Accounting Officer.
  • Respond to routine employee inquiries about forms, deadlines, documentation, and basic finance processes, and refer complex queries to appropriate staff.
  • Assist with monthly, quarterly, and year‑end finance processes, organizing spreadsheets, reconciliations, reports, and audit files.
  • Provide administrative support for the annual budget process, collecting information, maintaining templates, tracking submissions, and organizing draft materials.
  • Support preparation of Finance & Audit Committee meetings, compiling packages, confirming attendance, arranging logistics, facilitating translation or technical services, and drafting minutes when assigned.
  • Maintain accurate electronic and paper filing systems for financial records, confidential employee files, audit documentation, vendor records, and committee materials.
  • Assist with basic research, data compilation, and report preparation for the Director of Finance and IT, Payroll and Accounting Officer, Finance Committee, or audit purposes.
  • Ensure finance documents are stored securely in compliance with confidentiality, privacy, and internal controls.
  • Perform other related duties as assigned.

  • Knowledge of basic accounting, payroll support, reconciliation, and financial record‑keeping practices.
  • Strong attention to detail and accuracy in data entry, filing, tracking, and document preparation.
  • Ability to handle confidential information with discretion.
  • Proficiency with spreadsheets, word processing, email, database tools, financial systems, and related office software.
  • Ability to organize competing priorities, meet deadlines, and follow established procedures.
  • Sound judgment in identifying issues that require escalation.
  • Strong interpersonal skills and ability to provide professional service to staff, managers, vendors, members, and committee participants.
  • Ability to work independently and as part of a small multidisciplinary team.
