Ronald McDonald House Charities ® of Northeast Ohio, Inc. (“RMHC NEO”) is looking for a highly motivated and driven individual who possesses passion, compassion, and dedication as a full-time Accounting Assistant. This position reports to the Chief Financial Officer. This position is located at the Cleveland Ronald McDonald House with a hybrid work-from-home component up to three days per week. The Accounting Assistant is expected to possess an understanding of nonprofit accounting standards and will manage key transactional functions within the Finance department.
Responsibilities include processing accounts payable, recording donations, preparing cash disbursements, depositing funds, maintaining records of cash receipts, reconciling credit card transactions, and supporting various finance-related tasks.
In the spirit of teamwork, this individual interacts in collaboration with RMHC NEO staff and volunteers to provide support and assistance in the fulfillment of their goals and objectives.
JOB RESPONSIBILITIES- Ensures that the activities of this position are consistent with the Mission, Vision, and Core Values of the organization.
- Responsible for recording donations and revenue, managing and depositing cash contributions and transporting deposits to the bank.
- Prepares invoices for event sponsor ships and pledge commitments. Monitors and follows up on accounts receivable and pledges receivable.
- Process cash disbursements through ACH and checks, handling distribution processes including employee reimbursements.
- Reviews transactions entered in Stampli, the accounts payable system, to verify invoices, expense reimbursements, and credit card charges are accurately documented, ensuring the submission of all required supporting materials, appropriate assignment of GL accounts, and inclusion of comprehensive memos.
- Trains and supports staff on use of Stampli.
- Assists in timely preparation of monthly financial statements due on the 15th of the following month including updating supporting schedules, making standard journal entries, and providing additional financial reports as requested.
- Enters annual budget into Quick Books.
- Assists in timely and efficient preparation and distribution of annual 1099’s, audited financial statements, and form 990.
- Provides support to Finance and Audit Committees, and Investment Subcommittee including setting up the meeting dates, uploading meeting materials, attending meetings, and taking minutes as requested.
- Oversee the physical management and documentation of donated gift cards, ensures their distribution to staff for approved operational expenses, and collects receipts to verify usage compliance.
- Facilitate the request and issuance of credit card accounts within Stampli for employees with authorized access.
- Participates in fundraising events as required.
- Establishes priorities for managing own work while staying on a focused, efficient path for achieving results.
- Acts as organizational ambassador and presents a positive image of RMHC NEO.
- Performs other duties, as assigned.
- High School diploma or GED with a minimum of 5 years of experience in accounts payable/receivable preferred.
- Associate degree or Bachelor’s degree in Accounting, Finance, Business Administration or another related field is a major plus.
- Strong computer proficiency, including familiarity with all MS Office products and accounting software (Quick Books and Stampli preferred). Ability to learn organization-specific software.
- Must be dependable and able to work with minimum supervision.
- Excellent attention to detail, time management, and organizational skills.
- Ability to manage multiple projects, meet frequent deadlines, and work independently.
- Ability to maintain confidentiality of information related to the organization’s operations, financial, and personnel data.
