We are seeking an Investment Fund Operations Manager to lead and own AIM's fund operations function, with accountability for the systems, processes, and reporting that keep the high-performing team running effectively. The position will be responsible for the operational execution across AIM, ensuring that key organizational priorities, governance obligations, and strategic initiatives are coordinated, tracked, and executed effectively, fund and policy compliance, and audit support - all with a focus on inclusive financial institutions and Fintechs.
This position will also oversee the reporting process, ensuring deliverables are completed accurately and on schedule.
This role is based in Washington, D.C., with a hybrid work arrangement requiring a combination of in-office and remote work.
Primary Responsibilities:Portfolio Management and Investment Support:
- Lead the production of investor reports, portfolio updates, and responses to investor information requests, directing investment staff inputs and approving final deliverables.
- Prepare the agenda and coordinate all quarterly and annual LP and LP Advisory Committee meetings.
- Serve as governance lead for key AIM meetings - Executive Committee, Investment Committees, LP Advisory Committees and LP meetings - setting agendas, managing the materials process, and ensuring follow-through on action items. Track governance requirements and key deadlines.
- Lead the fundraising operations workstream, including data room build-out and management, LP due diligence response, and close logistics.
- Oversee reporting processes and deliverables.
- Primarily focused on new capital raising, though not exclusively.
- Work closely with the Investment Fundraiser to support fundraising efforts.
- Provide support in the preparation of quarterly and annual reports.
- Support Managing Partners with ad hoc reporting needs.
- Review and approve marketing materials (including pitch decks, PPMs, data rooms) for compliance with SEC marketing regulations, serving as first-line reviewer before Legal sign-off.
- Collaborate with the Legal department to assist in the preparation and review of SEC filings and other regulatory documentation.
- Own the annual audit process end-to-end as primary liaison to external auditors and fund administrators, managing the timeline, PBC list, and internal contributors.
- Design and oversee investment management systems, policies and procedures, including document management and warehousing process, tracking consistency with investment policy and historic practices.
- Oversee corporate administration support including file management as well as maintaining AIM's operating documents.
- Drive vendor relationships and the operations vendor budget, leading negotiations and ensuring contracts are current and commercially sound.
- Supervise and develop junior operations staff, setting priorities, reviewing work product, and managing performance.
- Scale operating infrastructure as the platform grows, identifying process gaps and leading remediation across Finance, Legal, and Investment teams.
- Leading software selection and operational improvement initiatives.
Qualifications:
- Bachelor's degree is required, preferably in Business, Economics, Finance or a related field; CFA, CPA, or MBA a plus.
- 5-10 years of relevant work experience is required, with prior supervisory or team-lead responsibility strongly preferred.
- Prior supervisory or team-lead responsibility preferred.
- Experience working with investment management firms or investment funds, including direct experience within an SEC-regulated entity and ownership of investor reporting cycles or fund closes.
- Project management skills: ability to develop and execute operational plans successfully.
- Fluency with fund operations and reporting systems, and the judgment to select and implement new tools as the platform scales.
- Knowledge of financial analysis, financial inclusion, and/or impact investing industry, also a plus.
- Excellent English communication skills. Proficiency in Spanish desired.
- Strong organizational skills and attention to detail, with the judgment to set priorities for a team and operate with autonomy in ambiguous situations.
