The Episcopal Diocese of Maine is seeking a customer service- and detail-oriented Finance Associate to join our small, dedicated, friendly staff. In this role, you will assist the Finance Director in bookkeeping, accounts payable, accounts receivable, and payroll. The Finance Associate will play a vital part in supporting financial operations. We are seeking someone with 3+ years experience in payroll and bookkeeping but are willing to train the right candidate!
The position offers an exciting opportunity to develop your expertise in financial nonprofit management within a collaborative and team-oriented environment.
This is a full-time (40 hours per week), in-person (offering occasional remote work flexibility) position. The Finance Associate will work under the specific supervision of the Finance Director and will be supported generally by the Canon to the Ordinary/Chief of Staff.
ESSENTIAL FUNCTIONSBookkeeping
- Implement bookkeeping functions as directed
- Record accounts payable and receivable
- Create quarterly budget reports for budget managers
- Follow internal control procedures
- Create and monitor reports to identify potential problems or errors
- Participate in problem solving and special projects with the finance department
- Support reporting to council, finance, trustees etc.
- Support audit preparations
- Support financial record keeping
- Support distribution and reporting of grants from Bishop's Discretionary Fund, Loring Funds, and other grants given or obtained.
Payroll
- Process payroll accurately and timely for all employees of the diocese in accordance with Federal, State and local employment and payroll laws
- Perform biweekly payroll reconciliation and make sure payroll general journal entries are posted accurately and timely
- Calculate and process payroll deductions including insurance, 403(b) contributions, wage garnishments, voluntary deductions and company 403(b) contributions
- Verify monthly and quarterly company payroll totals
- Help with year-end processing (W-2s & 1099s)
- Learn and advise around payroll tax laws, especially for clergy
- Partner closely with benefits/HR person
- Work with payroll partners (eg. Checkwriters), other diocesan payroll people (eg. Dio NH), to learn and implement best practices
- Support congregations for questions, procedures, training
- Collaborative Skills. The Finance Associate will work in partnership with a small diocesan staff.
- Customer service oriented - eager and effective in helping to support church leaders
- Strong technical skills - familiarity with MS Office, Quickbooks, and other data and online technologies.
- Able to prioritize, work in a fast-paced environment. Handle several complex tasks in a timely manner, meeting unexpected deadlines, and dealing with a wide variety of people and situations with a spirit of joy.
