Job SummaryAnswers phone in a timely, courteous, and professional manner. Assists callers by providing accurate information, scheduling appointments, taking messages, and resolving inquiries to callers’ satisfaction.
Duties and Responsibilities- Answer/screen/triage incoming phone calls in a timely and courteous manner and resolve callers’ inquiries.
- Schedule appointments and cancellations by phone or email.
- Understand scheduling protocols for hospitals, offices, ambulatory centers, and doctors/other providers at each location.
- Understand all appointment and procedure types and the preparations associated with each type.
- Understand insurance protocols for scheduling and pre‑certification.
- Daily review of physician and hospital schedules and maintain working knowledge of them.
- Obtain patient insurance information and enter it into the computer.
- Utilize computer programs daily (Dial Pad, ggastro, IQueue, and Alert
MD). - Review daily tasks and submit appropriate PAT and appointment orders to corresponding facilities.
- May be asked to cross‑cover other duties as assigned.
- Maintain confidentiality of patient’s personal and financial information in accordance with HIPAA guidelines and regulations.
- Attend all office meetings or in‑service sessions as required.
- Knowledge of medical terminology.
- Ability to communicate with patients, staff members, external providers, and agencies at diversified levels.
- Ability to organize work material to ensure accuracy of job performance.
- Knowledge of modern office procedures and methods, including telephone communications, office systems, and record keeping.
- Skill(s) to use a personal computer and various software packages, including the internet.
- Skill(s) to handle a multi‑line phone system.
- Ability to establish priorities, work independently, and proceed with objectives with little supervision.
- Ability to handle and resolve problems.
- Neat appearance, professional demeanor, and pleasant phone voice.
Must have a high school diploma or equivalent.
Prefer at least 2 years of experience working in a medical environment.
Special Requirements- Willingness to learn new tasks, be cross‑trained within the office, and be flexible with workload to help office flow, assisting peers as needed.
- Flexibility in working hours with willingness to work occasional overtime.
Must be able to sit (frequent), stand (frequent), walk (frequent), stoop (frequent), bend over (frequent), and type on keyboard (frequent). Ability to communicate in person (occasional) and by phone (frequent). Medical office requiring on‑site training with remote work privileges.
