What

you will be doing

The Digital Scheduling and Access Program Manager will be responsible for overseeing and providing strategic support to the EIS Cadence and MyChart teams, ensuring successful project oversight, prioritization, resource management, and data analysis. This role will provide leadership, guidance, and direction for the Digital Scheduling project, collaborating with operational stakeholders to optimize scheduling and promote the use of digital tools. You will lead the long‑term digital scheduling and access program implementation and optimization plans, identifying and mitigating risks with program stakeholders, developing and maintaining strong relationships with key stakeholders—clinical and operational leaders, IT teams, and vendors—and monitoring and reporting on project progress, providing regular updates to senior leadership.

  • Oversee the implementation of the EIS digital scheduling tools across specialties.
  • Assist the Cadence and MyChart teams with design decisions needed.
  • Determine resource allocation and planning needs.
  • Create project documentation tools to support the work.
  • Maintain tasks and milestones according to project timelines.
  • Ensure the Cadence scheduling tools (decision trees, Fast Pass, scheduling tickets) are implemented as planned.
  • Ensure the MyChart scheduling tools (open, direct, and scheduling tickets) are implemented as planned.
  • Oversee the post‑live specialty check‑ins required for both MyChart and Cadence.
  • Be the point person for Cadence and MyChart scheduling‑related escalations.
  • Identify and mitigate risks that could impact program success.
  • Ensure pre‑requirements for launching digital tools are addressed with operational access optimization and change management prior to the EIS project kickoff.
  • Assist with driving standardization of scheduling workflows across all clinics.
  • Make data‑driven decisions on workflow optimizations, engaging stakeholders as needed.
  • Create project requests and track optimization requests.
  • Participate in all scheduling‑related meetings to maintain continuity and support decision‑making.
  • Deliver regular status updates at key leadership meetings.
  • Develop and monitor key performance indicators (KPIs) to evaluate the effectiveness of digital programs and consistently report findings to leadership.
  • Develop a toolkit for managing and tracking the digital scheduling tools implemented.
  • Manage Cadence and MyChart risks and post‑go‑live support.
  • Ensure and/or create lessons learned documentation from EIS and operations and report out to EIS leadership.
  • Prefer someone living locally or willing to relocate to the LA area, but Approved Remote States:
    Arizona, California, Colorado, Florida, Georgia, Minnesota, Nevada, Oregon, Texas.
Qualifications

Experience Requirements
Five (5) plus years’ experience in portfolio, program, and/or project management with a successful project‑management track record in full‑life‑cycle information technology implementation projects. A proven record of execution to time and budget, preferably in healthcare IT portfolio or program management managing large‑scale IT systems implementations. Epic or other supporting software certified in a relevant module required. Related work experience in clinic/outpatient healthcare setting and/or clinic call center preferred.

Educational/Certification Requirements
High School Diploma/GED. Bachelor’s degree in Healthcare, Management, Business or related field preferred. Epic Certification in one or more of the following modules:
Cadence, MyChart, Referrals, and/or Ambulatory.
