Key ResponsibilitiesThe Correctional Health Services (CHS) Administrative Team is looking for a Correctional Health Services Records Manager who is a detail-oriented, customer service-focused, and driven employee wanting to work in a great environment. In this role, you will manage by planning, directing, and evaluating new or ongoing health information and medical records programs for CHS clinical providers and their patients. You will perform a variety of moderately complex administrative duties focused on ensuring the accuracy, compliance, and secure management of inmate electronic health records.
Additionally, this leadership position involves supervising a dedicated team of archivists in their daily records management operations, as well as overseeing and processing Government Records Access and Management Act (GRAMA) requests to ensure the department maintains strict adherence to state records laws and healthcare confidentiality standards.
- Healthcare Compliance:
Working knowledge of medical privacy laws and specific correctional healthcare compliance guidelines, including the NCCHC P-A-08 Records Standard. - Team Leadership:
Maintain dedicated supervision over the Records team, directly managing the Archivist positions. - GRAMA Processing:
Manage and process high-volume GRAMA (Government Records Access and Management Act) record requests. - Workflow Management:
Oversee the heavy physical workload of the department, specifically managing internal record scanning operations and workflows. - Regulatory Compliance:
Ensure all records management aligns with legal and healthcare compliance guidelines, including the NCCHC P-A-08 Records Standard.

- Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
- Healthcare Compliance:
Working knowledge of medical privacy laws and specific correctional healthcare compliance guidelines, including the NCCHC P-A-08 Records Standard. - GRAMA Expertise:
Extensive knowledge of the state Government Records Access and Management Act (GRAMA), with the ability to efficiently process and manage a high volume of GRAMA record requests. - Records Law & Rule:
Strong understanding of Utah state records retention schedules, administrative rules, and secure archiving/destruction protocols. - Certification:
Must hold or attain a certification as a State of Utah Certified Records Officer. - Systems Management:
Experience overseeing the technical and physical workflows associated with medical records, including managing high-volume internal record scanning processes. - Information Security:
Demonstrated experience handling sensitive, confidential, and protected health information within a highly regulated, secure, or legal environment. - Direct Supervision:
Proven supervisory experience with the ability to train, oversee, and optimize the workflows of specialized direct reports, such as Archivist positions. - Workload Management:
