As an Intake and Outreach Coordinator at our locally owned and operated Ellie Mental Health clinic in Chelmsford, you'll share our vision for improving and expanding access to quality mental health care. In this unique role, you will help us to pair potential clients with the appropriate clinician, as well as working with local healthcare providers to help them understand our referral process.

This part-time role would be a perfect opportunity for a student studying Psychology or Mental Health Counseling!

Key Responsibilities
  • Oversee referrals and admissions through every step of the intake process.
  • Respond to phone/email inquiries
  • Conduct initial screening of client’s needs and match with appropriate therapist
  • Enter intake details into EHR system
  • Schedule initial appointment
  • Send intake paperwork/links to clients
  • Send information to our billing team to verify insurance
  • Manage waitlists
  • Identify and engage potential referral sources, including therapists, doctors, hospitals, residential facilities, and school counselors
    • Establish and foster positive working relationship by conducting in-person or virtual meetings to introduce our services, how our referral process works and provide brochures and swag as needed
    • Ongoing liaison with referring providers to discuss openings
  • Attend local events, conferences, and health fairs to represent the practice.
  • Track referral volume and trends, reporting on Key Performance Indicators (KPIs) to leadership.
Qualifications & Skills
  • Previous experience in a mental health setting, medical office, or customer service is preferred.
  • Ideally some knowledge/experience in psychology, social work, or a related field
  • Proficiency with Electronic Health Records (EHR) and Microsoft Office/Google Suite.
  • Strong attention to detail and ability to thrive in a fast-paced environment.
  • Exceptional communication and networking skills with a natural, consultative style.
  • Ideally some proficiency in social media management and Canva
  • Ability to act with diplomacy, empathy, and maintain strict patient confidentiality.
  • Familiarity with HIPAA compliance in marketing materials.
Compensation & Hours
  • $20-$23/hr
  • Initially this is a part-time, hybrid role.
  • Flexible schedule, Monday through Friday

Compensation: $20.00 - $23.00 per hour
