- Maintain local clinic operations and perform administrative duties supporting medical examinations
- Open and close the clinic each day
- Ensure IME physicians have the equipment needed for reviews
- Ensure appointments are conducted timely and efficiently
- Maintain positive working relationships with IME physician panel members, Washington L&I, and claimants
- Support management, IME physicians, and claimants with general administrative duties
- Handle incoming and outgoing phone calls
- Check in claimants for appointments
- Schedule appointments and make reminder calls
- Turn over exam rooms between appointments
- Order and set up lunch for IME physicians
- Intake new cases and review or verify information and requests
- Draft cases by entering information into the Dane Street AccessDS system
- Work with clients to obtain missing information needed to process claims
- Sort, organize, and create medical document listings when required
- Assign and schedule cases to appropriate physicians based on location, availability, guidelines, jurisdictional requirements, and client requirements
- Check assigned physicians for conflicts of interest
- Monitor, process, and track cases to meet deadlines
- Provide clients with frequent updates on cases in progress
- Clarify referral-information questions and ensure proper documentation is provided to assigned physicians and clients
- Retrieve and upload medical records
- Upload diagnostic imaging
- Complete billing and invoicing for medical examinations
- Sort and upload mail
- Order clinic supplies and maintain inventory
- Perform other duties and special projects as assigned
- Travel to various clinic locations as needed
- Associate’s Degree or Bachelor’s Degree preferred, not required
- Business experience in a healthcare and/or insurance setting preferred
- Exceptional communication skills
- Clear understanding of company business lines
- Ability to apply critical thinking
- Ability to manage time efficiently and meet specific deadlines
- Computer literacy and typing skills
- Ability to perform required lifting, bending, and travel
- Ability to sit and work at a computer for long periods
- Reliable transportation required
- Ability to supply and support personal internet services for work from home
- Uninterrupted internet connection required for work-from-home duties
Demonstrates strong administrative capabilities in managing clinic operations, scheduling appointments, and maintaining effective communication with physicians and clients. Proficient in case management, documentation, and utilizing healthcare systems to support medical examinations.
