Summary

The Intake Coordinator plays a critical role in ensuring a smooth, compassionate, and efficient intake process for new and returning patients. This individual facilitates assessments, verifies insurance, and ensures compliance with clinical and administrative protocols. This role requires strong communication and organizational skills, along with an understanding of mental health services.

Key responsibilities

• Manage intake and scheduling operations for patients.
• Coordinate with clinicians to determine appropriate levels of care and scheduling needs.
• Ensure accurate and timely documentation of patient information in the EMR.
• Verify insurance benefits and obtain pre-authorizations as needed.
• Maintain up-to-date knowledge of community resources and referral options.
• Support best practices for patient engagement during the intake process.
• Identify opportunities to improve intake workflows to enhance patient experience and clinic efficiency.
• Serve as a liaison between patients, families, and clinical teams during the intake process.
• Ensure compliance with HIPAA and other regulatory standards.
• Assist with various duties as needed in the local office.
• Be proficient in office-related tasks and provide support when necessary.

Requirements

Qualifications

• Associate degree in psychology, social work, healthcare administration, or related field or 3+ years of experience in a behavioral health or psychiatric setting.
• Strong understanding of mental health diagnoses, treatment modalities, and crisis intervention.
• Proficiency with EMR systems and insurance verification processes.
• Excellent interpersonal, organizational, and problem-solving skills.
