Arts NC State Special Events Coordinator
The Special Events Coordinator will report to the Associate Dean, University College & Executive Director of Arts NC State. They support special events across Arts NC State units, assist Ticket Central with data analysis and ticketing, and coordinate a range of event types including exhibitions, performances, conferences, and community outreach.
Responsibilities- Coordinate special events for NC State LIVE, University Theatre, the Gregg Museum of Art & Design, the Crafts Center, the Friends of Arts NC State Board, and ANCS Central Office.
- Provide support to Ticket Central by assisting with audience data collection and analysis, and ticketing for special events.
- Identify staffing needs for special events and design effective calendars and workflows.
- Hire and train student employees to support special events.
- Create an accessible, safe, and welcoming environment for all patrons, artists, and guests.
- Uphold Arts NC State operational guidelines and mission while remaining responsive to the specific needs of each event and community partner.
- Create and maintain special event coordination training guides, policies, and procedural documents.
- Serve as the primary liaison between Arts NC State units and central office for all special event–related communication and support.
- Manage Americans with Disabilities Act (ADA) requests during events, ensuring accessible pathways and venue accommodations.
- Ensure public areas are event‑ready by monitoring cleanliness, preparation, and presentation of event spaces.
- Resolve attendee concerns courteously and effectively.
- Prepare and share accurate event manager reports, including attendance numbers, injury/accident reports, and notable event data.
- Attend meetings with Arts NC State units to ensure close coordination between units and special event planning.
- Attend non-revenue generating sporting events for free.
Monday – Friday; 20 to 40 hours/week; 9 am – 5 pm with occasional evenings and weekends required. Hybrid remote work possible as programming allows.
Qualifications- Excellent communication and relationship‑building skills.
- Experience working with teams.
- Ability to work non‑traditional hours, including evenings and weekends.
- Excellent customer service, interpersonal communication, and organizational skills.
- Proficiency with a computer and various software applications, including Excel.
- Ability to learn new technology and software quickly.
- Ability to work independently with minimal supervision, display discretion and sound judgment, and meet deadlines.
- Ability to perform data collection and analysis.
- Ability to develop shared systems and effective workflows to support cross‑unit collaboration.
- Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
- Experience managing events in a higher education environment.
- Experience managing arts events.
- Box office or ticketing experience.
- Experience with project management software.
