Sr Payroll Specialist

THE ROLE
Our Client is seeking a Sr Payroll Specialist to play a strategic role in supporting payroll processing for over 10,000 employees across all 50 states. This position ensures efficient operation of employee data processing, upholds SOX compliance, maintains data integrity, and manages interfaces with third‑party systems in a high‑volume, fast‑paced environment. The Sr Payroll Specialist will be responsible for processing biweekly and semi‑monthly payroll cycles, supporting time and attendance functions, managing Service Now inquiries, reconciling and transferring information for employee benefits, processing employment verifications, and ensuring adherence to internal controls and regulatory requirements.
The role also involves maintaining thorough and accurate documentation in accordance with company policy and government regulations, cross‑training to support payroll cycles, and driving compliance reporting for leadership.
- Process biweekly (hourly) and semi‑monthly (salaried) payroll cycles for 10,000+ employees across all 50 states
- Cross‑train to support payroll processing and provide backup for time and attendance functions using Ulti Pro Time and Attendance (UTA)
- Test and assist in the implementation of Ulti Pro Payroll solutions to enhance payroll processing efficiency
- Drive time card approvals by managers and generate/distribute compliance reports to leadership
- Serve as first‑level support for payroll‑related inquiries and processing errors via Service Now
- Reconcile and transfer information to support funding of employee benefits (401K, HSA, FSA, and other vendors)
- Process Verification of Employment requests and support the growth and development of this process
- Ensure compliance with internal controls, SOX, and governing federal and state payroll laws
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and government regulation
- Perform other duties as assigned
- Minimum of 3 years’ experience in timekeeping, payroll, or a related role
- Associate Degree in accounting, finance, or related discipline, or equivalent training and experience
- Strong problem‑solving skills with an analytical mindset
- Proficiency in MS Excel and experience with Ultimate Software (Ulti Pro) payroll preferred
- Ability to communicate effectively, verbally and in writing, across all organizational levels
- Strong attention to detail and ability to consistently meet deadlines
- Knowledge of compliance standards including SOX, federal and state payroll laws
- Experience supporting payroll processing for large employee populations (10,000+ employees) across multiple states
- Ability to manage and resolve employee payroll inquiries using systems like Service Now
- Experience with payroll data reconciliation and vendor funding processes (401K, HSA, FSA)
- Ability to maintain thorough and accurate documentation in accordance with company policy and government regulations
- Demonstrated ability to follow through on problems and collaborate effectively with staff and employees
