Position Summary

Are you detail-oriented, adept at managing tight deadlines, and passionate about ensuring employees are paid accurately and on time? Join our team as our new Payroll Service Specialist! Our Payroll Service Specialist plays a crucial role in maintaining the integrity of our payroll processes, making a direct impact on the lives of our employees.

As a Payroll Service Specialist, you will be responsible for a variety of tasks, including inputting payroll changes, maintaining job and payroll data, running bi-weekly payroll processes, and providing exceptional customer service to both managers and employees.

What You’ll Do:

Maintain Job & Payroll Data:
  • Apply Banner electronic payroll action forms (EPAFs) accurately.
  • Set up deductions and benefits based on employee groups.
  • Process CRA TD1 forms and garnishments in a timely manner.
  • Run Bi-weekly Payroll:
  • Ensure data accuracy by running exception reports.
  • Upload time cards and troubleshoot data errors.
  • Balance payroll totals and distribute summaries to external entities.
  • Payroll Adjustments:
  • Process adjustments ranging from simple to complex.
  • Negotiate repayment schedules for payroll overpayments.
  • Troubleshoot direct deposit issues and calculate retroactive payroll.
  • Customer Service:
  • Answer payroll-related questions via email, telephone, and in-person.
  • Provide net pay calculations and complete requests for information from Service Canada.
  • Administrative Support and Other:
  • Maintain detailed procedures for all payroll processes.
  • File payroll-related paperwork and provide backup support as needed.

    Position Requirements
    What You Will Bring to the Position:
  • Successful completion of a certificate in Office Administration, HR management or Payroll Compliance Professional; and
  • Minimum of two years payroll experience.
  • An equivalent combination of education and experience will be considered
  • Preference will be given to candidates who possess or are working toward Payroll Compliance Professional (PCP) certification through the National Payroll Institute. The successful applicant will be required to complete PCP certification if they do not already possess it
  • Skills That Will Ensure Your Success in this Role:
  • Proficient in the use of Microsoft Office including Access, Excel & Word;
  • Knowledge of human resource policies and procedures (staffing, classification, salary and benefits, processes and procedures);
  • Maintaining various files and systems;
  • Knowledge of human resources information systems;
  • Demonstrates effective communication skills;
  • Exercises a considerable degree of initiative, judgment and discretion regarding sensitive and confidential matters and material;
  • Ensures that work accomplished is accurate;
  • Demonstrates an ability to effectively manage multiple projects while ensuring each project’s deadlines are met;
  • Demonstrates an ability to work independently and as a part of a team;
  • Demonstrates an acceptable standard of personal and professional behaviour in the workplace, exercising courtesy, tact and diplomacy;
  • Takes the initiative for understanding the needs of managers, staff and other internal/external “customers”, and acts to address those needs;
  • Interprets, explains and implements Human Resources and University policies, procedures, guidelines and programs, working within the spirit and intent of effective human resource and payroll practices; and
  • Effectively adapts to tight deadlines and workloads, in order to accomplish objectives.
