Job Description

We are seeking a Senior Payroll Administrator to ensure timely and accurate payroll processing across multiple provinces and countries, encompassing a variety of business lines. This role involves supporting payroll policy developments, leading improvement initiatives, and resolving complex payroll matters. The ideal candidate will exhibit a collaborative, professional, and service-oriented approach when interacting with business partners, utilizing strong communication skills and excellent attention to detail.

Responsibilities
  • Perform bi-weekly and weekly payroll pre-commit audits for all pay groups, providing leadership and guidance to the full bi-weekly payroll process.
  • Enter and approve Quick Entry forms in the Payroll Import Tool for processing in Ceridian.
  • Conduct payroll data reviews for discrepancies, such as negative balances or rate mismatches.
  • Coordinate manual check imports, off-cycle requests, ROEs, and stop payment cases with Ceridian.
  • Prepare, review, and post payroll-related journal entries to the accounting system.
  • Audit timesheets and cohesion imports, reconciling variances between systems.
  • Review negative YTD balances and process adjustments accordingly.
  • Investigate unusual transactions such as invalid payouts or duplicate entries.
  • Support HR/Operations and lead issue resolution and error corrections on behalf of the Payroll team.
  • Serve as the primary contact for payroll-related queries via email and Microsoft Teams.
  • Collaborate with HR teams to correct employee data issues, pay group assignments, and other payroll data or configuration issues.
  • Respond to Service Canada and Ceridian cases, ensuring timely and accurate resolution.
  • Prepare and review payroll reports including PIER, GL journal entries, and earnings summaries.
  • Lead data reconciliation between internal and third-party systems like Cohesion.
  • Manage quarterly and year-end processes, including calendar setup and discrepancy resolutions.
  • Collaborate with Accounting on payroll reconciliations such as WCB, EHT, and other payroll-related GL accounts.
  • Participate in the configuration and implementation of new pay codes, rules, and holiday policies.
  • Manage wage updates, minimum wage adjustments, and annual increases.
  • Lead responses and deliverables for external audits.
  • Draft and maintain training material for payroll and HR teams.
  • Mentor and coach newer or less experienced team members.
  • Process final payouts for retiring or departing salaried managers.
  • Coordinate with multiple internal teams and Ceridian Managed Services to resolve issues.
  • Leverage advanced knowledge of payroll systems to create enhancements and efficiencies for the department.
  • Perform other tasks as assigned by the Payroll Manager.
Essential Skills
  • 5+ years of payroll experience with progressive responsibilities, including multi-provincial and high-volume payroll experience, benefits administration, legislation, compliance, and reporting requirements.
  • Payroll Compliance Professional (PCP) Designation.
  • 2-3 years of experience with payroll systems such as Ceridian or ADP.
  • Intermediate Excel skills including data management, V and H lookups, and formulas.
  • General understanding of accounting principles, including debits, credits, accruals, journal entries, and reconciliations.
Additional Skills & Qualifications
  • Bachelor's degree in a related field.
  • Knowledge of Ceridian.
  • Ability to train and coach staff.
  • Undergraduate degree in Accounting, Finance, or HR.
  • Experience with Ontario, BC, or Quebec payroll.
  • Familiarity with Microsoft D365.
Work Environment

The role reports directly to the Payroll Manager and is part of a payroll team of five. It follows a hybrid working model, with four days in the office and one day working from home. The standard workweek is 40 hours, with occasional extra hours during payroll periods and year-end. Start time is generally 9 AM, but there is flexibility to start earlier to accommodate different time zones.
