Job Description

The position is based onsite at Westgate Villas Resort & Spa in Kissimmee, Florida. This is an in-office role, with eligibility for one work-from-home day per week after 90 days, based on performance.

The Pre Boarding Coordinator reports into the Talent Acquisition organization and provides critical onboarding support to Westgate Resorts new hires and current team members transferring to another role within the company. This individual will deliver exceptional customer service and be responsible for managing all on-boarding steps such as ordering drug/background checks, I‑9s, new hire paperwork, etc. They will partner with recruiters and hiring leaders from multiple properties to ensure a smooth and effective transition for new hires.

What You'll Do:

  • Process new-hires including running background checks, E‑Verify authorizations, scheduling drug testing, reviewing pre‑employment medical results, and explaining the Drug‑free Workplace procedure required by the company
  • Explain and review all new hire paperwork to ensure completeness and accurate information
  • Process Name Changes
  • Maintain team member I‑9 verification, including periodic self‑audits of I‑9s
  • Scan personnel files in Image Quest, update team member files to document personnel actions and provide information for payroll and other uses
  • Maintain inventory of forms
  • Assist with all pre‑employment questions or tasks
  • Assure work clearance prior to new hire orientation deadline
  • Meet deadlines in a timely manner
  • Schedule and conduct meetings with the Talent Acquisition team to ensure a seamless new hire process
  • Perform special projects as assigned, including but not limited to recruiting efforts support

What You Will Bring:

  • High school diploma required. Associate degree preferred.
  • 1–2 years experience in onboarding, HR coordination, talent acquisition support, or high‑volume administrative processing.
  • Experience with Smart Recruiters (ATS), ADP, Docu Sign, Sterling or First Advantage preferred.
  • Bilingual English and Spanish required.
  • Strong organizational skills, discretion, and ability to manage multiple deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work as a team as well as independently.
