Compensation: $48,000 USD to $52,000 USD. The estimated range is the budgeted amount for this position. Final offers are based on various factors including skill set, experience, location, qualifications and other job‑related reasons.
Position Summary
Orthopaedic Solutions Management (OSM) is seeking an organized and customer‑focused Onboarding Specialist to support the new hire experience across our growing healthcare organization.
This position is ideal for someone early in their Human Resources career who enjoys working with people, staying organized, and creating a positive experience for new employees. The Onboarding Specialist serves as the primary point of contact for incoming team members and partners closely with Talent Acquisition, Human Resources, Payroll, IT, and operational leaders to ensure employees have a seamless transition into the organization.

This position is based out of our Avion Park office and follows a hybrid schedule with a combination of onsite and remote work. Regular onsite attendance is required to support New Hire Orientation classes on Mondays that alternate between Tampa and Clearwater orientation locations.
Key Responsibilities
- Coordinate onboarding activities for new hires and internal transfers across multiple divisions.
- Serve as the primary point of contact for incoming employees throughout the onboarding process.
- Send welcome communications and onboarding instructions.
- Monitor onboarding timelines and ensure pre‑employment requirements are completed prior to scheduled start dates.
- Process employee information within HR systems and maintain accurate records.
- Verify employment details including start dates, compensation, employment status, and position information.
- Maintain onboarding checklists and ensure timely completion of onboarding milestones.
- Initiate and monitor background checks and drug screenings.
- Complete I‑9 verification and E‑Verify processing.
- Verify licenses and certifications for applicable positions.
- Perform required compliance screenings and maintain accurate documentation.
- Communicate onboarding status updates and outstanding requirements to the Talent Acquisition and Human Resources teams.
Orientation & Employee Experience
- Coordinate and support weekly New Hire Orientation sessions.
- Prepare orientation materials and employee welcome packets.
- Send orientation reminders and calendar invitations.
- Answer onboarding questions and provide support to new employees throughout their first days with the organization.
- Help create a positive and welcoming employee experience.
Administrative Support
- Maintain electronic employee files and onboarding documentation.
- Monitor onboarding email inboxes and respond to inquiries in a timely and professional manner.
- Maintain onboarding reports and tracking logs.
- Support sign‑on bonus and referral bonus tracking.
- Partner with Payroll, IT, Talent Acquisition, and operational leaders to ensure a smooth onboarding process.
- Assist with process improvements and additional HR projects as assigned.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.
- Recent graduates are encouraged to apply.
- One to three years of experience in Human Resources, Recruiting, Onboarding, Administrative Support, Customer Service, Healthcare Operations, or a related field preferred.
- Internship experience may be considered in lieu of professional experience.
- Experience with HRIS systems, applicant tracking systems, or Microsoft Office is preferred.
